Hotel event management software for boutique and independent hotels
MyVenueHQ is hotel event management software for boutique and independent hotels that sell meetings, banquets and weddings. Function rooms, proposals, contracts, deposits, BEOs and floor plans sit in one dashboard, for $49 a month.
Is our hotel event management software right for your hotel?
Yes, if your events team sells function space on its own: meetings, banquets, weddings and holiday parties. It does not connect to your PMS or hold room blocks yet, so a hotel that sells sleeping rooms with most groups should keep a full sales and catering system for now.
How MyVenueHQ fits a hotel events team
What a small hotel’s events office needs, and where we stand on each today.
| You need | In MyVenueHQ | How it works |
|---|---|---|
| Function and meeting rooms | Yes | Each function room has its own floor plan and calendar. An event you create or move that overlaps another in the same room is refused. |
| One event across several rooms | Partly | An event can hold a plan for each room it uses, such as a ballroom and two breakouts. Only the first room is checked for clashes. |
| Capacity by setup | Partly | Each floor plan counts its tables, chairs and seats. Room capacity is not stored or checked against the guest count. |
| Inquiries and leads | Yes | From your website form, booking page, API or a pasted email that HQ reads into the form. |
| Proposals, contracts and deposits | Yes | Proposals accepted by link, contracts signed on a phone, and a deposit, second and final payment into your own Stripe or Square account. |
| BEOs | Yes | Menu with dietary notes, beverage and bar, room setup, timeline and staffing, with manager approval and a Word download. Menu and drink lines can be priced per person, each or flat, and the kitchen copy prints without prices. |
| Service charge | Yes | Set a percentage for the venue and override it on any event. It applies to food and beverage, you choose whether it is taxed, and it carries into proposals, invoices, the client portal and the payment plan. |
| F&B minimums | Yes | Set a minimum on an event or a default for each function room. The event, BEO, proposal and invoice show spend against it, and the invoice can add the shortfall as a room fee. |
| Tax and gratuity | Yes | One tax rate and a flat gratuity per event and invoice. |
| Setup for a hotel | Yes | Pick Hotel or resort at setup and you start with a ballroom, boardroom and breakout room, two example menus and a meeting day package to edit. |
| Outlet sales | Partly | Square, Clover, Toast or Lightspeed sales sync into the revenue report. No Micros or Simphony. |
| Staff and properties | Yes | Roles for managers, coordinators and banquet staff, with no per-seat price. Each extra property is $15 a month on the same bill. |
What we don’t do yet
- No PMS integration, room blocks, pickup or rooming lists.
- No function diary grid of rooms by hour. The calendar is a month view with room clashes marked.
- No RFP intake from Cvent or other marketplaces.
More on BEOs in the banquet event order guide and the free BEO template. Room setups are drawn in event floor plan software. Payments are on venue contracts and payments, and more than one property is on multi-location venue management.
Hotel event questions.
Can we keep using our PMS?
Yes. Guest rooms and folios stay in your PMS, and the events team runs function space, banquets and weddings in MyVenueHQ.
Is MyVenueHQ hotel sales and catering software?
For the catering and events side of a small hotel, yes. Group room sales are the part it leaves to other systems.
What does hotel event management software cost?
MyVenueHQ is free for 10 events a month, then $49 a month for unlimited events and staff, with no contract term. Published starting prices elsewhere are $249 a month on a yearly contract for Event Temple and $375 a month per venue for Tripleseat. iVvy does not publish a price.
Can our banquet team work from the BEO?
Yes. Give them staff seats and they see each event’s BEO, timeline and floor plan. Print the kitchen copy and the same BEO goes out with no prices on it.
Which languages and currencies does it support?
The app runs in English, Dutch, German, French and Spanish, chosen per venue. Prices, proposals and invoices work in 21 currencies, including euros, pounds, Mexican pesos, Thai baht, UAE dirhams and Japanese yen. Stripe takes card payments in all 21. Square takes cards only in USD, CAD, GBP, AUD, EUR and JPY, so a hotel on Square in another currency collects payment outside the app.
