Restaurant event software for private dining rooms and buyouts

MyVenueHQ is restaurant event software for private dining rooms, buyouts and group dinners. The inquiry, menu, deposit and BEO sit in one dashboard, and your POS sales sync into the same revenue report. Free for your first 10 events a month.

What should restaurant event software do?

Restaurant event management software should turn a private dining request into a booked room, a signed agreement, a paid deposit and a BEO the kitchen can cook from, without retyping the party’s details. MyVenueHQ does each of those for $0 up to 10 events a month, then $49 a month with no charge per seat.

How MyVenueHQ fits a restaurant

Here is what a private dining manager needs, and where we stand on each today.

You needIn MyVenueHQHow it works
Requests from your websiteYesYour booking page and website forms send each request to Inquiries with the date, party size and contact. The longest wait shows first, and HQ can draft the reply.
A calendar for each private roomYesEach room has its own calendar. An event you create or move that overlaps another in the same room is refused before it saves.
Full buyoutsPartlyBook the buyout as an event and close your other rooms for that night, so nothing else books.
Menus and per-person pricingYesMenu and drink lines on the BEO and proposal are priced per person, each or flat, and per person uses the guest count. Package prices are flat.
A food and beverage minimumYesSet a minimum on the party or a default for each private room. The event, BEO, proposal and invoice show spend against it, and the invoice can add the shortfall as a room fee.
Deposits and a payment scheduleYesA deposit, second and final payment with due dates, paid by card into your own Stripe or Square account. We add no fee to invoices.
A signed agreementYesThe host signs your contract on their phone with no account. Venue plan.
A BEO for the kitchenYesMenu with dietary notes, bar, room setup, timeline and staffing on one sheet, printed or downloaded in Word. The kitchen copy leaves the prices off.
Service charge, tax and gratuityYesA service charge percentage for the restaurant, with an override per party and a choice to tax it. It shows on the proposal, invoice, client portal and payment plan. One tax rate and a flat gratuity per event.
Setup for a restaurantYesPick Restaurant or private dining at setup and you start with a private dining room, a full buyout layout, a family-style menu and a buyout package to edit.
POS salesYesSync Toast, Square, Clover or Lightspeed sales into the revenue report by day. Venue plan.
The Inquiries screen for a sample venue: a strip showing how fast the venue replies, then inquiries waiting for a reply, each with how long it has waited and a Reply button.
Inquiries in a sample venue, with the longest wait first.

What we don’t do yet

  • POS sales arrive as daily totals, so we can’t close one party’s check against its deposit or count it toward the minimum.
  • No reservations, waitlist or table management for the dining room.

For the paperwork behind a party, see the banquet event order guide and the free BEO template. For deposits and signing, see venue contracts and payments. For the room calendar, see venue booking software. Running two locations? Each extra one is $15 a month: multi-location venue management.

Restaurant event questions.

What is the best restaurant event software for a small restaurant?

The best restaurant event software for a small restaurant takes private dining requests, holds each room on a calendar, collects deposits and sends the kitchen a BEO, at a price that suits a few events a week. MyVenueHQ does all four, with unlimited staff on the paid plan.

Does it work with Toast or Square?

Yes, on the Venue plan. Connect Square in one click, or paste an API token from Toast, Clover or Lightspeed, and the sales come into your revenue report by day. Card payments for event deposits go through your own Stripe or Square account.

Can I set a food and beverage minimum on a private dining room?

Yes. Give each private room a default minimum, or set one on the party. The BEO, proposal and invoice show how far the menu and drinks are from it, and the invoice can charge the gap as a room fee.

Can the BEO show prices without the kitchen seeing them?

Yes. Price menu and drink lines per person, each or flat, and the BEO adds them up with the service charge and tax. Print the kitchen copy and the same BEO goes out with no prices.

Does it replace OpenTable or Resy?

No. MyVenueHQ runs private dining and events, not dining room reservations or table turns. Keep your reservation system for the floor and use us for parties, buyouts and group dinners.

How much does private dining software cost?

MyVenueHQ is $0 for up to 10 events a month and $49 a month after that. Published starting prices elsewhere are $199 a month billed yearly for Perfect Venue and $375 a month per venue for Tripleseat.
