Venue booking software with a room calendar, holds and an inquiry page

Each venue gets one calendar for its rooms, a public page where visitors ask about a date, and a Confirm booking step that checks closed dates and other events before anything saves. Requests arrive as inquiries. You decide what becomes a booking.

The short answer

MyVenueHQ is venue booking software where a visitor asks about a date on your booking page, the request lands as an inquiry, and you convert it to an event. An event you create, move or convert is refused if it overlaps another in the same room or falls on a closed date. A tentative hold keeps the date for seven days unless you set another deadline. It does not take online bookings or payments for a date.

How a date is protected

The check depends on how the date got into the calendar. This is the full list.

Where it comes fromWhat is checked
An event you create in the app Refused if it overlaps another event in the same room, or falls on a closed date. With no room chosen, the whole venue counts as one room. Tentative holds count. Cancelled events do not. It is checked again inside the save, so two people saving at once cannot both take the slot.
An event you move or reopen The same check, leaving out the event itself. An edit that does not change the time, room or status is never blocked.
An inquiry you convert to an event Closed dates first, then the same clash check, before the event is created.
A request from your public booking page Checked against closed dates only. The page does not send a room, so a request for a date that is already taken still arrives, as an inquiry, for you to answer.
A website form or the API Closed dates only, and they always arrive as inquiries. An inquiry never holds a date.
Guest count, staff, equipment, setup and teardown Not checked by the server. The staff calendar flags a red Clash when two events in a room overlap once setup and breakdown times are counted, but it blocks nothing.

When a staff-made event is refused, the message reads: Overlaps the event’s title and its time window. Pick another time or room.

Rooms, closed dates and what visitors see

A room is a saved layout of your venue, and each event can point at one. The clash check runs inside a room, and an event with no room counts as using the whole venue.

Block dates closes a day or a range, all day or for a window, for the whole venue or one room. Closed dates stop new events, moves, conversions, booking requests, form inquiries and tour slots. Events already booked on those dates stay.

The public calendar page, and its embed, show events you mark public and your closed dates as Unavailable. Visitors see Month and Coming up views. On the hosted page they can press Ask about a date. The text there says: Nothing is booked yet, the venue will check the date and get back to them.

The public booking page for a sample venue. It shows only events marked public, so this month looks empty although the venue has bookings. Visitors press Ask about a date.

Tentative holds

  • A tentative booking holds its date against other events.
  • The hold ends on the date you set, or seven days after the booking was made.
  • Two days before it ends, the team gets a notice in the app and one email.
  • Nothing is released for you. On the event you choose Give 3 more days, Give a week or Release the date.
  • An optional automation, Warn a couple before their hold ends, emails the client.

Tours

When you accept tour bookings, your tour page lets a visitor pick a day and time with no account. You set the hours by weekday, how long a tour takes (10 to 240 minutes), the time between tours, how far ahead people can book and the soonest they can. Times when an event is running are left out, and closed dates remove slots. They get a confirmation with a link to move or cancel, and a reminder about a day ahead. A booked tour attaches to the person’s open inquiry or starts one.

What is automatic and what is you

Most steps in a booking wait for a person. This is where the line sits.

What it costs

The calendar, booking page, holds and tours are in every plan. Free covers one venue and 10 events a month, and inquiries do not count toward those events. The Venue plan is $49 a month, or $490 a year, with unlimited events. The pricing page has the full table.

What it connects to

An iframe embed of your public calendar, with options for colour, logo and size. A calendar subscription link. An API key and webhooks that send booking and inquiry events to your own tools.

What it does not do

Where booking in MyVenueHQ stops today.

  • A visitor cannot book and pay for a date online. The booking page is a request: it says Nothing is booked yet, and the venue gets back to them.
  • The public calendar shows only events you mark public, plus closed dates as Unavailable. A date taken by a private event looks open there, so it does not show a visitor which dates are free.
  • There are no recurring events.
  • Room capacity is not stored, and nothing compares the guest count to a room.
  • The staff calendar is a month grid on a laptop and a list on a phone. There is no week or day grid, and a multi-day event is drawn on its first day only in the month grid.
  • The embedded calendar is view only.
  • Holds are never released by the app. You release them.
  • Your calendar leaves as a read-only subscription link. Nothing syncs back from Google, Apple or Outlook.

Venue booking software questions.

Does MyVenueHQ stop double bookings?

For events you create, move or convert, yes. An event that overlaps another in the same room, or falls on a closed date, is refused with a message naming the event it clashes with. A request from your public booking page is only checked against closed dates, because it arrives as an inquiry and not as a booking.

Can people book my venue online?

They can ask. A visitor picks a date on your booking page and sends a request, and you get an alert and the inquiry. They cannot confirm a date or pay for it online. You convert the inquiry to an event when you agree.

How do rooms work?

A room is a saved layout of your venue. An event points at one, and the clash check runs inside that room. An event with no room counts as using the whole venue. Public pages show the room name.

How long does a tentative hold last?

Until the date you set, or seven days after the booking was made if you set none. The team is warned two days before. The app never releases a hold for you.

Can I close dates?

Yes. Block dates closes one day or a range, all day or for a window, for the whole venue or one room, with a private reason. It stops new events, requests, forms and tour slots on those dates. Events already there stay.

Can I show my availability on my website?

You can embed a public calendar. It shows events marked public and closed dates, not every free date. Visitors ask about a date from the hosted booking page.

Does it sync with Google Calendar?

One way. Your calendar is a read-only subscription link for Google Calendar, Apple Calendar or Outlook. It lists confirmed and tentative events without client contact details, amounts or notes. Google refreshes it every few hours.

Can visitors book a tour?

Yes, once you accept tour bookings. You set tour hours by weekday, how long a tour takes and how far ahead people can book. They pick a time with no account and get a confirmation and a reminder email. Closed dates remove slots.

What does it cost?

The calendar, booking page, holds and tours are in every plan. Free covers one venue and 10 events a month, and inquiries do not count toward those. The Venue plan is $49 a month with unlimited events.
