What the assistant does today

Fifteen things, and what each one needs from you. Everything that writes or sends is a card with a button, and the assistant cannot press it.

WhatWhat it doesYour click
Daily briefing A short note on today’s and tomorrow’s events, inquiries waiting, reminders due and tentative holds. It is written when you first open Today, and it uses no credits. None. It only writes a note.
Ask in plain English Answers from your events, inquiries, invoices, contacts, proposals and contracts, with links to the records it used. Money answers go only to owners and people allowed to see reports. None. It only reads.
Reply drafts Writes a subject and message for an inquiry and uses your calendar to say whether the date is open. It opens in your email app or copies. You send it yourself.
Paste an email Fills in a new inquiry from a client’s email. You check it and save.
Hold a date Offers a tentative hold on an open date, or turns an inquiry into one. One click. Undo for 30 days.
Follow-up reminder A reminder to you, on an event or an inquiry, due on a date you choose. It shows on Today that day. It does not email the client. One click. Undo.
Note on an event A private staff note, marked as written by the assistant. One click. Undo.
Move an event Changes an event’s date or room. It refuses a closed date or a double booking. One click. Undo while unchanged.
Change a status Sets an event to confirmed, tentative, pending or completed. It never cancels one. Confirming runs your own booking-confirmed automations. One click. Undo while unchanged.
Update an inquiry Changes the phone, email, event type, guest count or stage. One click. Undo.
Start a proposal Creates a draft proposal with a short welcome. It writes no prices or packages, and it does not send it. One click. Undo.
Draft an invoice Drafts an invoice for one payment on the event’s schedule. The amount comes from the schedule, so the assistant cannot set one. It does not send it or charge anyone. One click. Undo while unpaid.
Payment reminder Emails the client the same fixed reminder your automations send. It checks the payment is unpaid, the client has an email and has not unsubscribed, none went out in the last three days and fewer than three have gone in all. One click. It cannot be recalled.
Follow-up email Writes an email to an event’s contact. The recipient comes from the event, and it allows one a day per event. You read it on the card, and MyVenueHQ sends it when you press the button. One click. It cannot be recalled.
Move to Trash Moves up to ten inquiries or draft events to the Trash, kept 30 days and restorable. It refuses anything with a payment, an invoice, a signed contract or tickets. One click. Undo restores.

How you stay in control

The assistant only proposes. A proposal belongs to one person in one venue, works once and expires after 15 minutes. When you press the button, MyVenueHQ checks that you still have the role for it, that the proposal is unchanged and that the record still looks the way the card showed, then runs the action through the app’s own screens with your own login.

It only offers a card when your own latest message asks it to do something, so text inside a client’s email cannot start one. It never offers to cancel an event, delete anything for good, refund, charge a card, mark an invoice paid, or change settings, people or billing.

Undo is there for most actions for 30 days, except the two emails. The owner can turn the assistant off for the venue, and anyone can hide it for themselves.

What is not live yet

Saved chats you can come back to, charts and calendars inside answers, and a picture-style briefing are built but not released. Today the conversation lives in your browser tab and answers are text with links to the records they came from. We will move these into the list above when they ship.

What it connects to

It reads and writes through the same screens you use, so it works with whatever you have connected there. It does not read your inbox, send text messages, or work in the mobile app, the client portal or the public calendar.

AI venue management software questions.

What is AI venue management software?

AI venue management software, also called AI event management software, is venue software with an AI assistant that reads your bookings, inquiries and payments, sums up your day, answers questions and prepares routine work. A person approves every change or send it starts.

Does the AI send emails to clients?

Not on its own. Reply drafts open in your email app and you send them. Two actions send email from MyVenueHQ, and only when you press the button on the card: a fixed payment reminder and a follow-up email to an event’s contact. You read the text first, and neither can be recalled once sent.

Where do its answers and numbers come from?

From your venue’s own events, inquiries, invoices, contacts, event sheets, proposals, contracts and recorded payments. Briefing numbers are counted from those records, and a dollar amount in an answer that does not match them is dropped.

Can I paste in a client’s email?

Yes. Paste it into a new inquiry and the form fills in their name, email, phone, event type, date and guest count. You check it and save.

How does it answer revenue questions?

From the Money screen: payments recorded in the app minus refunds, plus what is booked ahead, owed or on hold. Cash kept elsewhere is not counted. Only owners and people allowed to see reports get money answers.

What does the AI assistant not do?

It does not answer inquiries by itself, read your inbox, send text messages, set or suggest prices, write contracts, BEOs or run-of-show sheets, design floor plans or know a room’s capacity. It cannot cancel an event, delete anything for good, refund, charge a card or mark an invoice paid. A date counts as taken if anything is on it, so a venue with several rooms may still have space. It works in the web app, not the mobile app.

How much does it cost to use?

Every venue gets credits each month: 25 on Free and 500 on the Venue plan, plus 200 for each extra venue. One ordinary question costs about one credit, and a long answer that looks up many records costs a few. The daily briefing costs none. Credits refill on the 1st and do not roll over. Owners can buy 1,000 credits for $10 or 5,000 for $40, and bought credits last 12 months.

Can I undo what it did?

Mostly. A hold, reminder, note, move, status change, inquiry update, proposal, invoice or Trash action can be undone for 30 days while the record is unchanged. A payment reminder or follow-up email cannot be recalled once it is sent.

What happens to my data?

The text a request needs goes to an AI provider on United States routes only, and every request tells the provider not to keep the text or use it to train models. We don’t use your content to train any model. The assistant reads only your own venue’s records. The conversation stays in your browser tab. MyVenueHQ does keep a record of the actions it offered you, including the text of an email or note it wrote, so that you can undo them.

Which languages does it use?

The screens are in English, German, Spanish, French and Dutch. Chat answers follow the language you write in. The daily briefing and reply drafts are written in English.

Can I turn the AI assistant off?

Yes. The owner can turn it off for the whole venue in Settings, which hides all of its features from everyone and stops any card it already offered. Anyone can hide it for themselves.

Does AI replace my event coordinator?

No. It looks things up and prepares drafts and cards. A coordinator still decides what to promise, talks to the client and presses every button.
