Free wedding day emergency kit checklist for the couple, coordinator and venue

A wedding day emergency kit should hold clothing and beauty fixes, basic first aid and any medicines you need, tools and tape, and a printed timeline with every vendor’s phone number. This free checklist builds the list for who is packing and what the day is like, lets you tick items off and add your own, and downloads as Word or prints to PDF with no account.

Who packs what

The couple and the bridal party each carry a tote of personal fixes. The coordinator carries tools, tape and paper, and the venue keeps its own stock on hand for couples, guests and vendors. Ask the coordinator and the venue what they already bring before you buy the same things twice.

WhoWhat they carryItems
CoupleWhat the two of you carry or keep in the getting-ready room.37
Coordinator or plannerThe day-of person’s bag: fixes, tools and paper.59
Venue kitThe venue’s own stock, kept on hand for couples, guests and vendors.50
Bridal partyWhat a bridesmaid, groomsman or parent keeps in a tote.34

The counts are what each role gets before you switch on any weather or setting. One item can belong to several roles, so the tag beside it says who packs it when you pick more than one.

A wedding day emergency kit checklist with empty boxes, built from the roles packing and the weather: couple, coordinator and venue kit, with rain and an evening reception switched on.
Sample wedding. Pick who is packing and what the day is like; the list and its print follow.

Pack it the night before

Pack the kit the night before, once the printed pieces exist. Print the timeline and the vendor list, charge every phone and power bank, check the forecast and switch on the boxes that match it. Put the payment envelopes, the license and the kit by the door, and tick each item off as it goes in the bag.

For everything else in the weeks before, the free event planning checklist counts tasks back from your event date.

What the weather and setting boxes add

Each box adds items to the list and none takes any away. The tag beside an item says which role packs it.

The venue kit

A venue kit is what the venue’s team can hand to a couple, a vendor or a guest without leaving the building: a sewing kit, safety pins, stain remover, spare candles and lighters, extension cords, tape, scissors, zip ties, towels, mints, water and phone chargers, plus paper copies of the timeline, the vendor list, the signed contract and the BEO. Tick the venue role above for the full list, and switch on summer heat to add a cooler with ice and cold water.

Keep it in one labelled bin near the coordinator’s office and restock it after every event, with the printed copies in a folder on top. A copy of the banquet event order belongs in that folder, since it holds the room setup, bar and menu counts a coordinator gets asked about; our BEO guide explains what goes on one.

Keep the kit’s paperwork on the booking

In MyVenueHQ the proposal, contract, invoice, floor plan and BEO for a wedding sit in one dashboard, so the copies for the kit’s paperwork folder come from one place. The free plan covers 10 events a month.

Wedding emergency kit questions.

What should you put in a wedding day emergency kit?

Clothing and beauty fixes (safety pins, a sewing kit, fashion tape, a stain remover pen), basic first aid items and any medicines you need, tools and tape, and a printed timeline with every vendor’s phone number. Add water, snacks and a charged power bank, then switch on the boxes above for rain, heat, cold, an outdoor ceremony or an evening reception.

Who should carry the wedding emergency kit?

A dependable person who stays close to the couple and isn’t running other jobs. Easy Weddings suggests the maid of honour, a planner, a parent or an organised friend. A coordinator or the venue may already carry most of it, so ask before you pack the same things twice.

How big should a wedding emergency kit be?

Small enough for one person to carry all day: a tote for the couple or the bridal party, and a larger case or toolbox for a coordinator or the venue. If the ceremony and reception are in different places, Easy Weddings suggests a mini kit travels with you.

What does a wedding coordinator bring?

Tools and paper on top of the personal fixes: tape, scissors, zip ties, spare batteries, an extension cord, a printed timeline, the vendor list and copies of the contract and the BEO. BizBash’s 2014 roundup of event planners lists gaffer’s tape, pens, a phone list and printed schedules, and one planner carries a rolling toolbox.

What should you pack for a rainy wedding?

Umbrellas, towels, a bag to keep the dress dry between the car and the door, spare dry shoes, wet-floor signs, and printed signs if the ceremony moves indoors. Write the rain plan down too, with who decides, by what time and what moves where.

When should you pack the wedding emergency kit?

The night before, once the timeline and the vendor list are printed, the phones and power banks are charged and the forecast is checked. Put the kit by the door with the license and the payment envelopes.
