Best venue management software for wedding venues: six products, who each fits and what each publishes

By the MyVenueHQ team. Updated . 9 min read.

The short answer

No single product is best for every wedding venue. Compare holds that block a date, inquiry and tour follow-up, proposals with e-signed contracts and deposits, BEOs and floor plans, and the first-year price and term. This guide lists six from their own pages and says where each fits better.

No single product is best for every wedding venue, so this guide doesn’t rank them. It lists six products alphabetically, says who each is built for, what each publishes about price and terms, how each handles the calendar and the wedding paperwork, and where each fits better than the others. Every vendor statement comes from that vendor’s own pages, read October 16, 2026. Where a page didn’t answer, we say “Not publicly verified”, which isn’t the same as “not supported”. MyVenueHQ is our product, so it’s marked, and it follows the same rules as the rest.

What a wedding venue needs from the software

Start from the path a couple takes: inquiry, tour, date hold, proposal, contract and deposit, planning, final balance, the day. Our guide to choosing venue booking software turns that path into questions and a trial. In short, look for a calendar that stops two bookings of one room on one day, an inquiry form that creates the record, proposals and contracts a couple can sign on a phone, deposits paid into your own account, and a BEO and floor plan that come from the booking.

Event Temple

Its homepage now leads with hotel sales and catering teams, from independent hotels to hotel groups. Wedding venues, restaurants and other meeting venues are listed as customer types too.

The pricing page says “starting as low as $249 per month” with a custom quote, based on annual payment and a minimum one-year term. Import fees may vary and no amount is published. Its terms, last modified June 25, 2024, say a subscription renews for successive 12-month periods unless either side gives written notice at least 90 days before the term ends. Not publicly verified: whether the starting price is per venue or per user.

A diary of tentative and confirmed bookings across event spaces, and a booking portal where planners see open spaces and book. A live calendar check is described as stopping double bookings.

Not publicly verified: wedding-specific tools such as timelines, menus and staff scheduling on its own feature pages. Floor plans are available through a third-party integration, not a built-in tool.

Fits better when:

  • A hotel or hotel group that needs room blocks, pickup tracking and chain-level templates and reports.
  • A multi-property operator that wants one login, templates that apply across properties and roll-up sales reports.

MyVenueHQ (our product)

Independent event and wedding venues in the United States, from one room to a few sites.

Free for one venue, with no card: 10 events a month, 250 contacts, 2 staff seats. The Venue plan is $49 a month or $490 a year, with unlimited events, contacts and staff seats. 14-day trial, 30-day money back on the first payment, no setup fee, no minimum term.

A calendar that holds every room, and a booking that clashes with another event in the same room is refused. An inquiry from the form on your website turns into a booking in one click.

Proposals, invoices and deposits work on Free. Contracts with e-signature are on the Venue plan, and clients sign from a link on their phone. Invoices pay by card into your own Stripe, Square or PayPal account, and MyVenueHQ adds no fee. BEOs and menus pulled from the event, packages and add-ons, 2D and 3D floor plans on every plan, and a client portal for documents, invoices and messages.

Fits better when:

  • An independent event or wedding venue, from one room to a few sites, that wants to start free.
  • A venue that wants 2D and 3D floor plans and BEOs on every plan, without an add-on.
  • A venue that wants an AI assistant that drafts and prepares actions and sends nothing itself.

Perfect Venue

Private event management for restaurants, venues and hospitality groups. Event and wedding venues are one customer type among many on its industry page, next to bars, breweries, hotels and golf clubs. It says it suits groups of about 2 to 20 locations or more.

Professional is $199 a month per location billed annually ($239 monthly) and Premium is $299 ($339 monthly); Enterprise is by quote. Users are unlimited and there is no setup fee. A free plan exists, and a 14-day trial and a 30-day money back are listed. Paid accounts renew automatically and need 30 days’ notice before the next period, with no refund on annual plans after the first 30 days.

A central calendar that marks a space as free, tentative or in conflict, nested spaces, calendar notes that block dates, and Express Book, where a guest checks a space, picks a menu item, signs and pays a deposit and the venue accepts or declines. Tours are added by staff. Not publicly verified: client self-scheduled tours, and whether a clash is blocked outright.

Digital proposals with online payment and electronic signature, with the signed PDF kept on the event. Countersigning, several proposal options per event and custom documents are Enterprise features. Payments run through Stripe or Square with deposits and a scheduled balance. Not publicly verified: installment plans, and invoices as a separate document. BEOs and proposals generate and update automatically, menus are built in settings and chosen by guests, and tasks and a team activity log are included. Floor plans are a paid add-on with a one-week trial. Guest questionnaires and multi-day events are Enterprise features. Not publicly verified: a run-of-show module.

Fits better when:

  • A restaurant, bar or brewery selling private dining and buyouts: it connects to OpenTable, Tock, 7shifts and Toast deposit handling.
  • A hospitality group with several locations that wants one login, per-location permissions and templates that apply to every location.
  • A team that wants phone support and migration of its existing events to be done for it.
  • A venue that wants AI replies inside the same inbox, including the automatic first reply.
  • A group that needs Enterprise tools: countersigned contracts, pre-event questionnaires, multi-day events or a leads API.

Planning Pod

Venues first: event and wedding venues, barns and vineyards, clubs, breweries, wineries, hotels and event centers, with the software, support and roadmap built around venues. It also serves planners, nonprofits and schools. It says most of its venues run a team of one to five people.

Not publicly verified: a price list. Its pricing address returns a not-found page and every call to action leads to a demo. Price follows an event-count package, not the number of users. A yearly plan costs the monthly price times 12 less 10%, per its help center. A required one-time onboarding fee applies and its amount is not published. One help article describes a 14-day trial with no card. Subscriptions are not refundable and cancel in writing, per its terms.

A color-coded calendar with soft and hard holds, blackout dates, multi-space bookings, tour scheduling and alerts for double bookings, plus an availability calendar and a lead form to embed on your website. Syncing to Google, Outlook and Apple calendars is one way and can lag by up to 24 hours. Not publicly verified: instant online booking and payment with no staff step.

Proposals convert to contracts and invoices in one click, with e-signature and signer details on the signed PDF. Deposits, installment schedules with reminders and auto-payments on a saved method are included, and clients pay by card or bank transfer in a branded portal. Its own pages name different payment processors, so ask which applies. Not publicly verified: processing rates. BEOs build from the event in seven layouts for client, kitchen, floor and bar, with signed versions kept. To-scale floor plans, seating charts, itineraries, task lists, a client portal, ticketing and registration are listed. It has no native iPhone or Android app. Not publicly verified: staff shift scheduling.

Fits better when:

  • A venue that wants BEOs, to-scale floor plans, seating and food and beverage packages built from the event, with separate kitchen and client versions.
  • A venue that also sells tickets or registrations: its invoicing page says ticketing adds no service fee on top of card processing.
  • A team that wants a person to lead onboarding and data migration, with live training, and will pay a one-time fee for it.
  • A team that wants text reminders, email sequences, custom reports, QuickBooks Online and WeddingWire and The Knot lead feeds.
  • An operator who wants the calendars and spaces of several venues in one account.

Releventful

Built, it says, for wedding venues, event venues, banquet halls, event spaces, hotels and museums, with separate pages for caterers and restaurants that host private events.

Its Core tier is listed as “starting at $150/month”. The Full Suite tier and its AI products are custom quotes. The pricing page doesn’t say whether the price is per venue or per user, or whether it is billed yearly. Its cancellation policy gives a 12-month term for monthly and yearly plans that renews for another 12 months unless you cancel before the renewal date, with a prorated refund only if you cancel within 15 calendar days.

A business calendar with color-coded statuses, filters for available or booked dates, tours and date holds on the same calendar, and a date check tool. Not publicly verified: whether overlapping bookings of one room are refused.

Proposals, e-signed contracts and invoices tied to the event, a client portal, and BEOs with a timeline, setup notes and room assignments. Floor plans are not built in: layouts are made in outside tools and shown with the event.

Fits better when:

  • A venue that wants staff scheduling, time-off requests and inventory in the same system as bookings.
  • A venue that wants an AI chat on its website to answer visitors and collect event details.

Tripleseat

Event and group-sales teams across hospitality: restaurants, hotels, venues, breweries, wineries and more, with an industry page for wedding venues. It says it serves single venues and organizations with hundreds of locations.

Starts at $375 per venue per month, with unlimited users. Floor Plans, Direct Book, Venue Marketplace, Insights and Tickets are add-ons priced in a sales conversation, and no package prices are published. The agreement sets a one-year initial term that renews itself, 30 days’ notice to stop a renewal and 60 days’ notice of a price change. No free plan or free trial is listed; it sells through demos.

An availability calendar you can filter by status, room, event manager and type. Online booking is the Direct Book add-on, and its page says your team approves every event. Not publicly verified: whether the product blocks a double booking.

Proposals, contracts with e-signature and BEOs come from the event in every package. Deposits and payment schedules sit inside the event, paid by card or bank transfer through a guest portal. Its agreement names PartyPay, Stripe, Square and CardConnect as processors. Not publicly verified: processing rates, and invoices as a separate document. BEOs, menus and tasks come from the event. Floor plans, as 2D diagrams and 3D walkthroughs, are an add-on that is also sold on its own from $150 a month. Not publicly verified: staff scheduling and a run-of-show module.

Fits better when:

  • A hotel: it has room blocks, property-system sync and a Hotels package that includes Insights reporting.
  • A group with several properties that wants one dashboard, revenue by property or region and templates set once for every brand.
  • A venue that wants to be listed where planners search: the Venue Marketplace add-on does that.
  • A restaurant or caterer taking group reservations or ticketed events, through Direct Book and Tickets.
  • A team that wants a dedicated onboarding specialist, which it says every customer gets.

How to choose in an afternoon

  1. Write your booking path and mark where you retype, wait or have lost a booking.
  2. Cross off any product whose published terms you can’t live with: the term, the notice, the price change rule.
  3. Ask the rest for a written first-year quote built from your own numbers.
  4. Run the hold test on a trial: hold one room for one Saturday and try to book it from a second login.
  5. Send last month’s inquiries through the winner before you sign anything.

Common questions

What is the best venue management software for wedding venues?

It depends on your size and what you need to do. Compare products on holds that block a date, inquiry and tour follow-up, proposals with e-signed contracts and deposits, BEOs and floor plans, and the first-year price and term. This guide lists six and says where each fits better.

Which wedding venue software has a free plan?

Two products in this guide list a free plan: Perfect Venue and MyVenueHQ. Perfect Venue’s free plan has no multiple venues and charges a higher card rate, and MyVenueHQ’s is limited to 10 events a month. Read October 16, 2026.

Do wedding venues need venue-specific software or a general CRM?

A general or service-business CRM can hold contacts, contracts and invoices. A venue product also manages rooms and dates, so it can refuse a second booking for the same room and day. Our CRM guide has a one-minute test.

How much does wedding venue software cost?

Published prices run from free plans to $375 per venue per month. Planning Pod publishes no price, and Event Temple, Releventful and Tripleseat publish a starting price only. Our pricing guide lists each figure with its source and date.

Which software is best for a venue with an AI assistant?

Five of the six describe AI features: Perfect Venue (reply drafts and an automatic first reply), Releventful (a website chat and staff assistants), Tripleseat (drafted replies and usage limits), Event Temple (monthly AI credits) and MyVenueHQ (a daily briefing, answers from your records and drafts that wait for your click). Planning Pod’s pages describe none. Ask each what the AI costs and what it sends on its own.
