Wedding venue management software: every wedding in one dashboard

The couple’s inquiry, proposal, signed contract, deposit, floorplan and BEO all sit in one dashboard, so you type their details once. Free for your first 10 events a month.

The short answer

MyVenueHQ is wedding venue management software and CRM for independent wedding and event venues. Each wedding lives in one dashboard: inquiry, proposal, e-signed contract, deposit invoice, 2D and 3D floorplan, BEO and bar sales. It is free for up to 10 events a month, then $49 a month with no per-seat charge.

A wedding, start to finish

This is the sample wedding from our demos, 120 guests in the Garden Room on October 17.

StageWhat happens in MyVenueHQ
InquiryA couple asks about a date on your booking page, or fills in your website form. It arrives in Inquiries as New, with the date and guest count, and the longest wait comes first. You check your calendar and reply from your own email.
TourCouples pick a tour time on your tour page, with no account. They get a confirmation with a link to move or cancel and a reminder about a day ahead. The tour attaches to their inquiry. Tours are off until you accept tour bookings.
BookingConvert to event opens a Confirm booking window. Choose Confirmed or Tentative, which holds the date. The date is checked against closed dates and other events in the room.
ProposalSend a proposal with your packages and pricing. The couple accepts or declines from a link with no account, and you get an email.
ContractYour template fills in their details. They sign on their phone with no account, drawn or typed, and the signed copy is locked on the event. Venue plan.
DepositA payment schedule splits the wedding into deposit, second and final payments with due dates. Send the deposit invoice from the event, and the couple pays by card into your own Stripe or Square account.
PlanningWith a client account, the couple and their planner see invoices, the payment schedule and messages in the client portal. You share the reception layout as a link they can approve.
Final numbersUpdate the menu counts, table count and floorplan in the same dashboard, then send the BEO to the kitchen.
The dayYour team runs the day from the event, then syncs bar sales from Square, Clover, Toast or Lightspeed into the revenue report.
AfterThe balance and bar sales sit on the event, and revenue reporting shows what the wedding earned.
The Inquiries screen for a sample venue: a strip showing how fast the venue replies, then inquiries waiting for a reply, each with how long it has waited and a Reply button.

What to look for in wedding venue software

Whatever you buy, check these six.

  1. A calendar that will not double book. Saturdays are what you sell. One calendar should hold every room and refuse a clashing booking before it saves. Ask whether that includes requests from your website, which often it does not.
  2. Inquiry to booking without retyping. The couple’s details should flow from the inquiry into the proposal, contract, invoice and BEO.
  3. Contracts signed on a phone. Couples sign at 9 pm from the couch, with no account to create.
  4. Deposits paid into your account. Card payments should settle with your own Stripe or Square account, with a deposit and balance on dates you set.
  5. Floorplans and BEOs. Ceremony and reception layouts and the kitchen’s BEO should come from the booking.
  6. A price you can see. Weddings are seasonal, so look for a plan that is free or cheap in quiet months and does not charge per coordinator.

Built for independent wedding venues

MyVenueHQ is for the independent venue: a barn, an estate, a garden or a hall with two or three spaces and a small team. Much venue software is built and priced for hotels, arenas and conference centers. We have a free plan, one flat price with no per-seat billing, and payments straight to your account.

We’re a team you can reach, and on the Venue plan we spend an hour setting up your first event with you.

We compared published terms in MyVenueHQ vs Tripleseat and MyVenueHQ vs Perfect Venue.

What wedding venue software costs

Everything a wedding venue runs on

  • Inquiries and a room calendar

Requests from your booking page and forms queue by how long they have waited. An event you create or move that clashes in the same room is refused before it saves.

  • Proposals, packages and add-ons

Price your packages once and send a proposal the couple accepts online.

  • Contracts with e-signature

Your own template, filled in from the event, signed on the couple’s phone.

  • Invoices and deposits

A deposit, second and final payment on dates you set, with a deposit invoice in one tap, paid by card into your own Stripe or Square account.

  • Floorplans in 2D and 3D

Ceremony and reception layouts to scale, with guests seated by table, shared with the couple. Event floor plan software, the free floor plan maker and wedding seating chart software

  • BEOs for the kitchen

Timeline, menu counts and dietary needs on one sheet. Banquet event order guide and a free BEO template

  • Client portal

Couples and planners find their documents, invoices and messages in one place.

  • Automations

Send the contract, the invoice or a follow-up when a wedding changes status.

  • Bar and POS sales

Sync Square, Clover, Toast or Lightspeed sales into your revenue report, next to deposits and tickets. Couples planning their own bar can use the wedding alcohol calculator.

  • Revenue reporting

Revenue by day or month across bookings, tickets and the bar.

What it does not do for weddings

Where it stops for weddings today.

  • Couples cannot book and pay for a date online. Your booking page takes requests, and you convert the inquiry to an event.
  • Contracts need the Venue plan. A signed contract does not confirm the event, and there is no venue countersignature or amendment.
  • A hold on a date is never released for you. You are warned two days before it ends.
  • There is no bulk email to past couples, no text messaging and no contact tags.
  • There is no stored room capacity, so nothing checks a guest count against a room.

Wedding venue questions.

What is the best CRM for managing a wedding venue?

The best CRM for a wedding venue holds the whole wedding in one dashboard: inquiry, proposal, contract, deposit, floorplan and BEO. MyVenueHQ does that free for up to 10 events a month, then $49 a month with no per-seat charge.

How much does wedding venue software cost?

MyVenueHQ is free for one venue with up to 10 events a month, and $49 a month for unlimited events, contacts and staff. Each extra venue is $15 a month. The paid plan has a 14-day trial, a 30-day money-back guarantee and no setup fee.

Do I need wedding venue software, or will a spreadsheet and a CRM do?

For a few weddings a year, a spreadsheet and a general CRM will do. Past that, every guest count change gets retyped into the proposal, contract, invoice, floorplan and BEO. Venue software keeps those in one dashboard, so a change made once reaches all of them.

Can couples sign the contract on their phone?

Yes. They open a link from their email and sign on their phone, with no account. The signed, dated contract stays on the event.

Where do wedding deposits go?

Into the Stripe or Square account you connect. MyVenueHQ does not hold the money or add a fee to invoices. Your processor’s own card fee still applies.

We host the ceremony and reception in different spaces. Does that work?

Yes. Rooms are your saved layouts, and an event you create, move or convert is refused if it overlaps another in the same room, so the lawn and the ballroom can each be booked on their own. A request from your booking page arrives as an inquiry, so it is not checked against the calendar until you convert it.

Can our planners and couples see the details?

Yes, in the client portal, once they have a client account: their events, what they owe, the payment schedule, invoices, uploaded documents and messages to you. Contracts and proposals use their own links and need no account.
