LegalTerms of service

Effective

These terms are an agreement between you and Colorado Web Forge LLC (“MyVenueHQ”, “we”, “us”), based in Colorado, for your use of MyVenueHQ: the website at myvenuehq.com, the app at app.myvenuehq.com and related services (the “Service”). By creating an account or using the Service you agree to these terms. If you use it for a business, you agree on that business’s behalf and confirm you have authority to do so; “you” then means the business too.

1. The Service

MyVenueHQ is software for running an event or wedding venue: inquiries, calendars, proposals, contracts with e-signature, invoices, floor plans, banquet event orders, ticketing, point-of-sale sync and related tools. We may add, change or remove features over time. If we remove a feature that is central to a paid plan, we will tell you in advance.

2. Your account

  • You must be at least 18 and give accurate sign-up information. MyVenueHQ is a business tool and is not for children.
  • Keep your password private. You are responsible for what happens under your account and for the people you invite to your venue’s team.
  • Tell us promptly at hello@myvenuehq.com if you think someone has used your account without permission.

3. Plans, trial and billing

Free plan. One venue, two staff seats, 10 events a month and 250 contacts, with the features listed on our pricing page. Events count toward the limit in the calendar month you create them. If you reach 10, what you have already booked is untouched; new events pause until the first of the next month or until you upgrade. Inquiries don’t count toward the 10. We may change the Free plan’s limits with 30 days’ notice.

Venue plan. $49 a month, or $490 a year, for one venue, and $15 a month, or $150 a year, for each additional venue, billed in advance through Stripe on the interval you choose. Prices are in US dollars and don’t include any taxes we may be required to charge.

Trial. The Venue plan starts with a 14-day free trial. You give a payment card when you start it, and you pay nothing that day. We show the date of the first charge before you enter your card, and again on Stripe’s checkout page. Unless you cancel before the trial ends, the card is charged $49 (or $490 for a yearly plan) on the day it ends, and again on the same day each month, or each year if you chose yearly, until you cancel. Cancel before the trial ends and you are never charged. Stripe may email you about the trial or your receipts.

Money back. If the Venue plan is not right for you, email hello@myvenuehq.com within 30 days of your first payment, monthly or yearly, and we will refund that payment in full. The refund policy has the details.

Promotion codes apply only as described when they are offered.

Price lock. If you start a paid plan before January 1, 2027, we will not raise the price of that plan for as long as the subscription stays active and unbroken. If it ends and you subscribe again later, the price in force then applies.

Price changes. Except where the price lock above applies, we will email you at least 30 days before any increase to what you pay. The new price applies from your next billing date after that notice. A decrease applies from your next billing date, or sooner if we say so.

Failed payments. If a payment fails, your venue becomes read-only until billing is updated. Your data is kept.

4. Cancelling

You can cancel a paid plan at any time, in one click, in the app under Settings, Your account, Plan and billing, or by emailing hello@myvenuehq.com from the account owner’s address. Cancellation takes effect at the end of the billing period you have paid for (the end of the trial, if you are still on it), and you keep the paid features until then. You can take the cancellation back in the same place before that date. Apart from the refund on a first payment in section 3, we don’t refund partial months or years, except where the law requires it. After a paid plan ends, the venue becomes read-only; your data stays in place so you can resubscribe, and you can ask us to export it or delete it at any time.

5. Payments you collect

When your clients pay invoices or deposits, or buy tickets, the money is processed by the payment account you connect (Stripe, Square or PayPal) under that provider’s own terms. You are the seller. You are responsible for your prices, refunds, chargebacks, disputes and taxes, and for your agreements with your clients. We add no fee to invoice and deposit payments.

Ticket service fee. On the Free plan, tickets sold through a connected Stripe account carry a service fee of 5% of the order total, added to what the buyer pays and paid to us; you receive the full order amount. On the Venue plan there is no ticket service fee.

6. Your data

You own the information you put into MyVenueHQ, including your clients’ details, contracts and files (“Your Data”). You give us permission to host, copy, process and display Your Data only as needed to run the Service for you, to keep it secure, and as described in our privacy policy. We process personal information in Your Data on your behalf and on your instructions.

You are responsible for Your Data and for having the right to use it: for example, getting any consent the law requires before you store your clients’ information or email them through the Service, and for the content of emails you send through it. Some pages, such as proposals, contracts to sign and shared floor plans, open by link without signing in; share those links only with the people meant to see them.

You can download Your Data at any time while your account exists, in Settings. You can delete your account and Your Data yourself in Settings, under Your account, and it is removed from our live systems right away; if you ask us by email instead, we do it within 30 days. Records we must keep by law (such as payment records held by Stripe) stay as the law requires, and the database provider’s rolling history of recent changes clears as its window ends. See the privacy policy for the detail.

7. Acceptable use

Don’t use the Service to:

  • break the law, or help anyone else break it;
  • send spam or unsolicited bulk email;
  • upload malware, or content you don’t have the right to use;
  • harass, deceive or harm anyone;
  • probe, overload or get around the security or limits of the Service, or access accounts that aren’t yours;
  • copy, resell or build a competing product from the Service, or scrape it.

8. Contracts and e-signatures

MyVenueHQ gives you tools to send contracts and collect electronic signatures, and records the signature, the time and the signer’s IP address. The contract itself is between you and your client. You decide its terms and whether an electronic signature suits it. We don’t provide legal advice, and templates in the Service are yours to review.

9. AI features and other services

AI assistant. Where the Service offers an AI assistant, it drafts replies, summaries and similar text from the records you ask it about. A draft can be wrong or incomplete. You are responsible for reading it and for anything you send, and the draft is only a suggestion. We don’t use Your Data to train AI models, and the privacy policy says which providers process it.

Other services. If you connect another service, such as a payment processor, a point-of-sale system, QuickBooks or Eventriloquist, your use of it is governed by its own terms, and you authorize us to exchange data with it for you. We aren’t responsible for services we don’t run.

10. Suspension and termination

You can stop using the Service at any time. We may suspend or end your access if you seriously or repeatedly break these terms, don’t pay, or put the Service or other users at risk. Where we reasonably can, we will warn you first and give you a chance to fix the problem. When we end an account, you can ask us for an export of Your Data within 30 days.

11. Disclaimers

We work hard to keep MyVenueHQ available and correct, but the Service is provided “as is” and “as available”. To the extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We don’t promise the Service will be uninterrupted or error-free. Keep your own copies of anything you can’t afford to lose.

12. Limitation of liability

To the extent the law allows, neither party is liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or data, arising from these terms or the Service. Our total liability for all claims relating to the Service is limited to the greater of what you paid us in the 12 months before the claim arose and $100. These limits don’t apply to your payment obligations or to your obligations under section 13.

13. Indemnity

You will defend and indemnify Colorado Web Forge LLC against third-party claims, and the resulting losses and costs, arising from Your Data, your events, your dealings with your clients, or your breach of these terms.

14. Governing law

These terms are governed by the laws of the State of Colorado, without regard to its conflict-of-law rules. Any dispute will be heard in the state courts of Douglas County, Colorado, or the United States District Court for the District of Colorado, and both parties consent to those courts’ jurisdiction. If you use the Service as a consumer rather than for a business, any mandatory consumer protection law of the place where you live still applies to you.

15. Changes to these terms

We may update these terms. We will post the new version here with a new effective date, and email account owners at least 30 days before a material change takes effect. If you keep using the Service after that, the new terms apply. If you don’t agree, you can cancel before they take effect.

16. General

These terms and our privacy policy are the whole agreement between us about the Service. If a court finds part of them unenforceable, the rest still applies. Not enforcing a term isn’t a waiver of it. You may not transfer these terms without our consent; we may transfer them to a successor to our business. We send notices by email to the account owner’s address, and you can send notices to hello@myvenuehq.com.
