Venue marketing automation for follow-up emails and lead tracking

MyVenueHQ automates the follow-up around each inquiry and booking, and shows which of your marketing sources book events. It is not a full marketing platform: there are no newsletters, bulk email, segments or text messages.

The short answer

MyVenueHQ has seven one-click follow-up emails, a builder for your own automations with eight triggers and eight steps, and a Lead sources report with cost per booking. It does not send newsletters or campaigns to a list, does not segment contacts, does not send text messages and does not send from your own email address.

The Workflows settings screen: ready-made automations listed under Ready-made, one click, each with a Turn on button, such as replying to every new inquiry right away.

What counts as marketing automation here

Venue marketing tools differ most in what they leave out. This is each piece, and whether MyVenueHQ has it.

Seven follow-ups, one click each

Under Settings, Workflows, each of these switches on with one click and sends an email you can edit.

AutomationWhen it runsWhat it sends
Reply to every new inquiry right away An inquiry comes in from your booking page, a form, the API or by hand. An email you can edit, sent as the inquiry arrives.
Check back with inquiries that go quiet Two days after an inquiry arrives and is still New. A nudge. It covers inquiries that arrived after you turned it on.
Welcome a couple the moment they book A booking is confirmed. That happens when an event is created in the app or its status is set to confirmed. A welcome email.
Warn a couple before their hold ends Two days before a tentative hold ends. An email to the client that the hold is ending.
Ask for final details two weeks out Fourteen days before the event. A request for final counts and details.
Thank them and ask for a review the day after The day after the event. A thank-you, with your Google review link if you add one.
Remind clients about payments Three days before a payment is due, and one and seven days after. A payment reminder, up to three per payment. It covers unpaid invoices and the dates on an event’s payment schedule.

Build your own

An automation is a trigger followed by steps in any order. You name it, write the email in your own words with merge fields for the client’s name, the event title and date, the guest count and the venue name, and see every run in a history.

Triggers. An inquiry comes in, A booking is confirmed, A booking changes status, A booking is marked paid, Days before the event, A hold is about to end, An inquiry goes unanswered, A payment is due.

Steps. Send an email, Notify the team, Wait, Send a contract, Send a proposal, Send an invoice, Add a task, Add an internal note.

One automation can chain an email, a wait of a few days and a second email, which gives you a short nurture sequence for one inquiry or booking. Emails go only to the client the booking belongs to, a team member or a saved contact.

Email you send

Free-text automation emails carry an unsubscribe link, and anyone who unsubscribed is skipped. Replies go to your account email.

Lead sources and cost per booking

The Lead sources tab under Money is the attribution half. Inquiries are tagged for you from tracking links, the page the visitor came from, or whether they used your booking page, a form, an embed or your tour page, and you can change the tag on any inquiry. The tab offers copy-ready links for your listings and ads.

For this month or the last three, six or twelve, it shows each source with its inquiries, tours, bookings, booking rate, booked value, spend and cost per booking. You type in what you spent on each source each month. The Knot and WeddingWire are labels, not connections, and cost per booking shows n/a until a source has both spend and a booking.

The Lead sources tab of Money for a sample venue: a row per source with inquiries, toured, booked, booked percent, booked value, spent and cost per booking.

What it connects to

A webhook posts to an address you set each time an inquiry arrives, a booking is created or changed, or a contact is added or changed. An API key sends inquiries in from your own website or a tool such as Zapier or Make. MyVenueHQ does not connect to Mailchimp, HubSpot or Google Ads.

What it does not do

Where the automation stops today.

  • None of the seven recipes is on until you turn it on. All of them send email only.
  • A booking is marked paid trigger fires when staff mark a booking paid. It does not fire when a card payment lands.
  • A booking is confirmed does not fire when you drag a card on the Pipeline or convert an inquiry. It fires when an event is created in the app or its status is set to confirmed, including by the assistant after you approve it.
  • Timed triggers are checked every six hours, and waits are whole days, so a two-day wait can land a few hours late.
  • An automation has no conditions or branches. The trigger’s own filter, such as one booking status, is the only targeting.
  • The Send an invoice step sends a fixed amount you type into the automation. It is not worked out from the event, and the email carries no pay button.
  • There is no log of sent email on the client. Each automation has a run history that shows each step and who it went to.
  • There is no bounce or complaint handling.
  • Free sends up to 100 automation emails a day and the Venue plan up to 1,000. Contracts, proposals, invoices, tickets and receipts do not count toward that.

Venue marketing automation questions.

Does MyVenueHQ have marketing automation?

It has follow-up automation and lead tracking, not a full marketing platform. Seven one-click email automations and your own cover inquiries and bookings, and the Lead sources report shows which sources book events. There are no newsletters, bulk email, segments or text messages.

Can I send a newsletter to past clients?

No. There is no way to email a list. An automation emails the client a booking or inquiry belongs to, a team member or a saved contact. For a newsletter, use a separate email tool.

Can it text my leads?

No. MyVenueHQ stores phone numbers and does not send text messages or WhatsApp messages.

What happens when someone unsubscribes?

Free-text automation emails carry an unsubscribe link and the one-click unsubscribe header. Anyone who unsubscribed is skipped, and the rest of the automation still runs. Contracts, proposals, invoices and receipts are about their own booking, so they do not have one.

Can emails come from my own address?

No. Every email is sent from hello@myvenuehq.com with your account email as the reply address, so replies reach you. Venues cannot use their own sending domain.

How do I see which marketing works?

Open Money, then Lead sources. It lists each source with inquiries, tours, bookings, booking rate, booked value, what you spent and the cost per booking. You type in the spend for each source each month.

How fast do automations run?

An instant reply goes out as the inquiry arrives. Timed ones, such as a nudge after two days or a reminder before an event, are checked every six hours.

What does it cost?

Automations and lead sources are in every plan. Free has a cap of 100 automation emails a day and the Venue plan 1,000. The Venue plan is $49 a month, or $490 a year.

Follow up on every inquiry.
