What is MyVenueHQ?
MyVenueHQ is venue management software for independent event and wedding venues in the United States. It runs in a web browser. Inquiries, bookings, proposals, contracts and invoices live in one dashboard, with forms, floor plans, menus, banquet event orders (BEOs) and HQ, an AI assistant, and, on the Venue plan, sales from the venue’s POS sync into its revenue reports. The MyVenueHQ team makes and supports it.
Who is MyVenueHQ for?
Independent event venues, wedding venues and people who run more than one venue. Planners and couples can use the free tools without an account.
What does MyVenueHQ cost?
Free is $0 for one venue, with up to 10 events a month, 250 contacts and 2 staff seats, and no time limit. The Venue plan is $49 a month or $490 a year (two months free), with unlimited events, contacts and staff seats. Each extra venue is $15 a month or $150 a year. Prices are in US dollars.
There is no setup fee, no per-seat charge, and we take no cut of your invoices.
How is pricing calculated for more than one venue?
The first venue is the Venue plan at $49 a month or $490 a year. Each other venue adds $15 a month or $150 a year on the same subscription and the same bill, pro rata from the day you add it. Two venues cost $64 a month, and five cost $109 a month.
| Venues | Per month | Per year |
|---|---|---|
| 1 | $49 | $490 |
| 2 | $64 | $640 |
| 3 | $79 | $790 |
| 5 | $109 | $1,090 |
| 10 | $184 | $1,840 |
How do several venues work in one account?
One account, one subscription, one bill and one login that switches between venues. Each venue keeps its own calendar, rooms, contacts, templates, documents, revenue and staff.
There is no calendar that shows all venues together, no revenue report across venues, and no contacts or templates shared between venues.
What is in the free plan?
Inquiries, a room calendar that stops double bookings, proposals, invoices and deposits, 2D and 3D floor plans, BEOs and menus, packages, a client portal, automations and revenue reporting. Ticketing is on too, with a 5% buyer fee on card sales through a connected Stripe account. The limits are one venue, 10 events a month, 250 contacts and 2 staff seats.
Contracts with e-signature and POS sync need the Venue plan.
What does the Venue plan add?
Contracts with e-signature, POS sales sync from Square, Clover, Toast and Lightspeed, ticketing with no buyer fee, and unlimited events, contacts and staff seats.
How do the trial, cancellation and refunds work?
The Venue plan starts with a 14-day trial. Checkout asks for a card, and nothing is charged until day 15. The free plan needs no card.
You can cancel in the app (Settings, Your account, Plan and billing) or by email from the owner’s address to hello@myvenuehq.com. The plan ends at the end of the period you paid for, and there is no minimum term.
We refund your first payment in full if you ask within 30 days. Renewals are not refunded. If you subscribe in 2026, your price is locked for as long as you stay subscribed, and any later increase comes with at least 30 days’ notice.
Which integrations does MyVenueHQ have?
POS: Square, Clover, Toast and Lightspeed, connected with an API token. Payments: invoices are paid by card into your own Stripe, Square or PayPal account. There is also a calendar feed (iCal) you can subscribe to, an inquiry form and a public calendar you can embed on your website, and an API key for sending website form inquiries in.
That is the full list today. We do not list an integration we have not built.
What can the AI do, and what still needs a person?
HQ, our AI assistant, writes a daily briefing, answers plain-English questions from the venue’s own records and links to them, drafts replies to inquiries that check the calendar, and fills in a new inquiry from a pasted email. It also suggests actions as cards that wait for a click: hold a date, set a reminder, send a payment reminder, or start a draft proposal.
Nothing is sent, saved or booked until a person clicks. The daily briefing is the one thing written without a click. Reply drafts open in your own email app, and we never send them.
It does not send email, read your inbox, set prices, know your room capacity, or draft contracts and floor plans. Those stay with your team. It works in English, in the web app.
Does MyVenueHQ work for wedding venues?
Yes. An inquiry from the form on your website arrives as an inquiry, and its event moves from inquiry to tentative to confirmed. The proposal, e-signed contract (Venue plan), deposit invoice, floor plan and BEO sit in the same dashboard.
Does MyVenueHQ do email marketing automation?
No. Automations send triggered emails when a booking or inquiry changes status: the contract, the invoice, a payment reminder or a follow-up. Each carries an unsubscribe link, and there is a daily cap.
There are no newsletters, campaigns, audience segments or SMS. If you need those, use a separate email tool.
How do I get started, and is there a demo?
There is no demo to book and no sales call. Start free with no card. On the Venue plan, the MyVenueHQ team spends an hour setting up your first event with you. Questions go to hello@myvenuehq.com.
How is my data protected?
Traffic uses HTTPS. Passwords are stored only as hashes. A venue’s records are limited to its own team by role. Card data never touches our systems because card payments go through Stripe, Square or PayPal. Sign-in and sensitive requests are rate limited, backups are kept in a private store, and your data exports on request.
What does MyVenueHQ not do?
It has no calendar, revenue report, contacts or templates shared across venues. It does not send newsletters, campaigns or SMS. It does not integrate with Mailchimp, HubSpot or Google Calendar (there is an iCal feed you can subscribe to). Its AI does not send email or set prices. Its POS sync reads from Square, Clover, Toast and Lightspeed only.
