How to respond to venue inquiries
A first answer that books a tour covers four things, in this order:
- Whether the date is open. If it is not, name the closest dates that are.
- A room that fits their guest count, with the number it seats.
- A price range or your minimum for that day. The full price can wait for the proposal.
- One next step, usually a tour, with two or three times to pick from.
Each one you leave out costs another round of email, and the couple is writing to other venues while they wait.
How fast to reply
Send something within the hour, even if it is short, and the full answer the same day. The first template covers the gap: it thanks them, links your open dates and says when they will hear from you.
A restaurant operator described what the gap costs in FSR Magazine in August 2026. A request for a 42-person buyout arrived at 2:40 p.m., sat in a shared inbox until 9 the next morning, and the group booked a steakhouse.
Send the first reply automatically
In MyVenueHQ the first reply goes out on its own. When a couple asks about a date on your booking page or a form, they get your instant reply in seconds, at any hour, with a link to your open dates. You write the words and can pause it in Settings.
Your inquiries then sort by who has waited longest, and HQ, the AI assistant, drafts the full answer from your calendar for you to check and send. The follow-up after two quiet days is one click to turn on.
Inquiry reply questions.
Should I put prices in the first reply?
Put a range or your minimum in the full answer. It is the question most couples are asking, and it lets them decide whether to tour. Save the exact price for the proposal, once you know their guest count and plans.
What if the date is taken?
Say so in the first line, then offer the closest open dates and offer to hold one for a few days. The date-taken template above does both.
How soon should a venue reply to an inquiry?
Within the hour, even if the reply is short, and in full the same day. Couples write to several venues at once and often book the first one that answers.
Is there a venue inquiry response template I can send automatically?
Yes. In MyVenueHQ the first reply goes out on its own, in seconds, to every request from your booking page or a form, and the follow-up after two quiet days is one click to turn on. Both work on the free plan.
