Reply to an inquiry and track the wait

Plan: Free and Venue Who: Staff and above can change an inquiry. Event coordinators and above can convert or delete. Checked against the app on

The short answer

Press Reply on the row. It opens your own mail app, addressed to the person. Then press Mark as replied so the inquiry moves to Replied, waiting on them. MyVenueHQ cannot see the email you send.

Reply to a new inquiry

  1. Open Inquiries. The line under the title says how many inquiries are waiting and who has waited longest.
  2. Press Reply on the row. Your mail app opens with the person’s email address and the subject “Re:” followed by the inquiry’s title. A row with only a phone number shows Call instead.
  3. Send your email from your mail app.
  4. Back in MyVenueHQ the button now reads Mark as replied. Press it. The inquiry moves to Replied, waiting on them, and a message says “Name: Replied”.
  5. When the person is ready to book, open the row menu (the three dots) and choose Mark ready to book. The row then offers Convert to event. See Convert an inquiry to an event.

What each section means

Waiting for a reply holds the new ones, oldest first. Ready to book, Replied, waiting on them, and Declined follow. Empty sections are hidden. The right of each new row shows how long it has waited, and it turns red after two full days.

Open an inquiry by pressing the person’s name. You see the date, guests and kind of event, what they wrote, how to reach them and four stage buttons: New, Replied, Ready to book and Declined. Press Edit details to change any of it.

Let the assistant draft the reply

When the AI assistant is on, an inquiry with an email shows Reply with the assistant. Press Draft a reply. It reads what they wrote, checks your calendar for the date and writes a reply you can edit. Press Open in my email or Copy. Nothing is sent for you, and a draft uses credits. See AI credits.

Watch your reply time

Under the title, a strip called How fast you answer shows the middle time to your first reply over the last 90 days and how many recent inquiries became bookings. It appears when there is data. The comparison between fast and slow replies appears once at least five inquiries fall on each side.

Today, in Waiting on you, lists each new inquiry with “Unanswered for” and how long, and a Reply button.

What it does not do

  • Reply, Follow up and Email open your own mail app. MyVenueHQ does not send them and has no record of them.
  • The first reply time is stamped only when you mark the inquiry Replied or Ready to book, or convert it. If you reply and forget to mark it, the clock keeps running.
  • The “just emailed” memory behind Mark as replied lasts only while the page is open. After a reload the button is Reply again.
  • There is no search, filter, bulk action, owner or assignee on the Inquiries list, and no reminder control inside an inquiry.
  • A quiet inquiry does not chase itself. The automation “Check back with inquiries that go quiet” is off until you turn it on. It acts on inquiries still marked New after two days, checked every six hours, so it can land up to six hours late.
  • Imported inquiries are never emailed by that automation.
  • A venue whose subscription has lapsed can look at inquiries but not change them.

Common questions

Does declining tell the person?

No. Declining only moves the inquiry to the Declined section. Nothing is sent and no reason is stored.

Can I undo a decline?

Yes. Open the Declined section, press Show, then use the row menu and choose Move back to new. The wait time still counts from the day the inquiry arrived, so an old one can turn red at once.
