What should a venue rental contract include?

What is the short answer?

At minimum: who the parties are, the date and exact hours (including setup and teardown), the rooms and areas included, the total fee and what it covers, the payment schedule, and the cancellation and rescheduling terms.

Then the rules that cause arguments later: the guest-count minimum and how final counts work, which vendors are allowed and what insurance they carry, alcohol and noise rules, decor and cleanup limits, what the damage deposit covers, and what happens if weather or an emergency cancels the event. Add who signs, and when the contract takes effect.

Write it in plain words, and have a local attorney review it once. Clients read this document before they sign; the clearer it is, the fewer calls you take afterwards.

How a signed contract locks in MyVenueHQ

  • Your client signs on any device with no account.
  • At signing the contract gets a fingerprint, a short code worked out from its exact text, parties and price lines, and it locks. Edit, Void and Delete disappear, and the row reads "Unchanged since it was signed".
  • To change it, press Amend this contract, say what changes and add price lines (a negative price is a credit). The client signs the amendment. An increase becomes an unpaid invoice due in 14 days that you send yourself; a credit lowers the event price.

An amendment does not change the event date or guest count, so edit those on the event. For a paper version, use the free contract amendment template.
