How do you prevent double booking at an event venue?

What is the short answer?

Keep one calendar that every booking goes through, and make the system check it before it saves. Double bookings usually come from two places holding the truth: a paper book plus a phone calendar, an inquiry form that never reaches the calendar, or a tentative hold nobody wrote down.

Four habits help most. Put every date, including tentative holds, on the same calendar the moment someone asks. Give holds an expiry date and a person who chases them. Run every channel (the website, email, phone, a marketplace) into the same inbox. And take payment or a signed contract before a date is final, so a hold never gets treated as a booking.

If it happens anyway, call the client who is not yet booked first, offer an alternate date or a refund, help them move, and fix the process the same day.

How MyVenueHQ refuses a clash

  • Two events clash when their times overlap in the same room. Events with no room count as the whole venue, so they clash with each other, but not with an event that has a room.
  • The check runs when you create, move, reschedule or convert to an event. A clash is refused with a message like "Overlaps Smith Wedding, 5:00-11:00 PM. Pick another time or room."
  • A tentative hold blocks its room like a booking; a cancelled event does not. Back-to-back is fine: one ending at 6:00 PM does not clash with one starting at 6:00 PM.
  • A hold ends on its hold-until date, or 7 days after the event was made, but nothing releases itself. Your team is warned, then you give more days or release the date.
