Remind clients about payments

Plan: Free and Venue Who: Owners and managers who can manage the venue’s settings. Checked against the app on

The short answer

Open Settings, then Workflows, and press Turn on on “Remind clients about payments”. It emails 3 days before a payment is due and again 1 and 7 days after, once for each payment. Invoices need a due date to be found.

Turn the reminders on

  1. Open Settings, then Workflows under Automation.
  2. Under Ready-made, one click find Remind clients about payments and press Turn on. A message says it will run on its own from now.
  3. It saves three ordinary automations: “Payment reminder: 3 days before it is due”, “1 day after it was due” and “7 days after it was due”. You can edit or turn off each in the same screen.

What goes out

The email is in your client language and starts “Hi name”. For an invoice it says “You can pay online with the link below” and carries the Pay link. For the event’s Deposit, Second or Final payment date it asks the client to reply for help, with no link. Each send puts a “Payment reminder sent” note in your Notifications list and in the invoice or event activity.

The check runs every six hours, so a reminder can land up to six hours after the moment you expect.

Remind by hand

Ask HQ to chase a payment. It shows a card with the email to read, and nothing is sent until you press Send the reminder. It uses credits and needs the owner or someone who can see financial reports. There is no Remind button on the Money page. The Chase button there resends the invoice email.

What it does not do

  • A payment is reminded at most 3 times in total, and at least 3 days apart, whether the reminder comes from a person or an automation.
  • Only payments that fall due after you turned the automation on are reminded.
  • An invoice with no due date is never reminded.
  • While an open invoice exists on an event, the event’s own Deposit, Second and Final dates are not reminded, and once any invoice on the event is paid in full the event counts as paid and those reminders stop.
  • Nothing goes out for a payment that is paid, or for a cancelled event. Clients who unsubscribed are skipped.
  • There are no late fees, text message reminders or per-client schedules.
  • Reminders count toward your daily automation email limit: 100 on Free and 1,000 on Venue. Invoices, receipts, contracts and proposals do not count.
  • The automation “When a booking is marked paid” fires when you save the event as Paid, not when a client pays by card.

Common questions

Why was my client not reminded?

Check that the invoice has a due date, that the due date came after you turned the reminders on, that the client has an email and has not unsubscribed, and that three reminders have not already gone.
