Import your clients, inquiries, events and payments

The short answer

Open Settings, then Import your data, choose where you are moving from, add your CSV or Excel files, check the columns and press Import. Nothing is emailed, and you can undo the whole import afterwards.

Run an import

  1. Open Settings, then Import your data under Venue.
  2. Under “Where are you moving from?” pick Tripleseat, Perfect Venue, HoneyBook or A spreadsheet or another tool. The page lists which reports to export. Export each as a CSV file, then press Continue.
  3. In Choose files, add each file, or drop them on the page. For each file, check the menu This file is: Clients, Inquiries, Events or Payments.
  4. Press Continue. On “Check the columns”, change any match that looks wrong. A column you leave out is not imported. If asked, say what each status word means and whether dates read month first or day first.
  5. Press Check the import. This is a dry run: nothing is written yet. Read “What will be added” and “Rows we cannot import”, and tick the choices that suit you.
  6. Press the button that reads “Import” and your record count, for example “Import 120 records”. Keep the page open until it says “Import finished”.

What each kind carries over

KindWhat it fills in
ClientsName, company, email, phone, a second email and phone, website and notes. A street address goes into the client’s notes.
InquiriesName, company, email, phone, event date, event type, guests, message, how they found you and status. They are filed as inquiries.
EventsEvent name, date, times, status, guests, event type, room, total price, deposit, amount paid, balance and the client.
PaymentsAmount, date, method and which event it belongs to, matched by id, then email, then name.

Undo an import

  1. Open Settings, then Import your data, and scroll to Past imports.
  2. Press Undo on the import, then Undo import to confirm.
  3. The page says “Import undone” and what was removed. Anything you changed or built on since, such as an invoice, a contract or an edit, stays.

What it does not do

  • Only these four kinds can be imported: clients, inquiries, events and payments.
  • Contracts, invoices, proposals, BEOs, menus, floor plans, vendors, tickets, tasks, attachments and message history cannot be imported. An import makes no invoices.
  • It works from files only. There is no live connection to Tripleseat, Perfect Venue or HoneyBook.
  • Files must be .csv, .txt or .xlsx, up to 20,000 rows and 200 columns each. Only the first sheet of an Excel file is read, up to 15 MB. An import takes at most 12 files.
  • On the free plan, clients over 250 are left out: “Your plan holds 250 clients and … more fit. The rest are left out.” Owners can start the 14-day Venue trial from the wizard to bring them all in.
  • Imported events dated today or later count toward the free plan’s 10 events a month. Imported past events do not.
  • An import never emails anyone and never starts a follow-up email for imported inquiries. Automations that run around an event date, such as a reminder before an event, treat imported events like any other.
  • You cannot edit a past import. You can only undo it.

Common questions

Will importing email my clients?

No. An import sends nothing, and the inquiries it brings in are never sent follow-up emails.

What happens to old inquiries and past events?

By default old open inquiries are filed as declined and past events nobody confirmed are filed as cancelled, so your waiting list is not full of old prospects. Untick that choice on the check page if you want them as they were.

I imported twice by mistake

Rows already in MyVenueHQ are skipped as duplicates, and you can undo either import from Past imports.
