Send a contract for signature

Plan: Venue plan to create contracts Who: Event coordinator and above. Checked against the app on

The short answer

Open the event, then More, then Contracts, and press New contract, then Send. Your client opens a private link, draws or types a signature and signs, with no account. A signed contract cannot be changed.

Create and send a contract

  1. Open the event, press More, then Contracts. Press New contract.
  2. Optional: choose a template in Load from template.
  3. Fill in the Contract title, the Client name and Client email (filled in from the event) and the Contract body. Press Create contract. This makes a draft and sends nothing.
  4. Press Send. The client is emailed “Please sign: {title}” with a button Review and sign. The row says Sent.
  5. To remind them, press Resend. It emails the same link again.

What your client does

  1. They open the link on any device. They see the contract text exactly as you wrote it.
  2. Under “Your signature” they choose Draw it or Type it and sign.
  3. They tick “I, {name}, have read and agree to the terms of this contract.” and press Sign the contract. Their time and IP address are recorded with the signature.
  4. They see “Contract signed” and get an email “Contract Signed: {title}”. You, as the owner, get an email “Contract Signed by {name}”. The row says Signed and offers View signature.

Void a contract that is out

  1. On the row, press the void icon, then Void contract. The signing link stops working.
  2. If the client opens the link they see “This contract was withdrawn”.
  3. To change wording that is not signed yet, void the contract and write a new one.

Track every contract

Money, then the Contracts tab, groups contracts across all your events: Waiting for a signature, Drafts not sent, Signed and Voided. A contract out for six days or more without a signature is flagged on the Money overview under “Contracts not signed”. A row waiting for a signature has Resend for signature.

DocuSign instead

If a manager or owner has connected your DocuSign account in Settings, then Integrations, a draft or sent contract also has Send with DocuSign. DocuSign emails the client itself, and the built-in signing link stops working for that contract. The signed PDF with DocuSign’s certificate comes back onto the row as Signed PDF.

What it does not do

  • Contracts are on the Venue plan. On Free the New contract button is hidden and a card says “Contracts are on the Venue plan”.
  • Signing the contract does not confirm the event or create an invoice. You do the next step.
  • A signed contract cannot be edited, voided or deleted.
  • A sent contract cannot be edited from the screen. Void it and write a new one. A voided contract cannot be sent again from the screen.
  • The built-in signature has no PDF. The client gets a confirmation email with the title and time, and you see the signature, time and IP address.
  • The venue cannot countersign, and a contract has one signer. There are no initials or witnesses.
  • Nothing reminds a client automatically, and there is no “contract signed” trigger for automations.
  • A draft, an unknown link and a DocuSign contract all show the client “This signing link doesn’t work”.
  • You can send up to 30 contracts and proposals an hour.

Common questions

Does my client need an account to sign?

No. The link is private to them, and the email says “You don’t need an account to sign. The link is just for you, so please don’t forward it.”

Where is the signed contract?

On the event’s Contracts tab and in Money, Contracts, under Signed. The row shows who signed and when, and View signature shows the signature.

Can I change a signed contract?

Not through the app. The contract is locked once it is signed. Agree the change with your client in writing and keep it with the event.
