Write contract templates with placeholders
The short answer
Open Settings, then Contract templates under Event setup, and press Write a template. Write your agreement once, use the Put in buttons for the client name, event date, event name and venue name, and start every contract from it.
Write a template
- Open Settings in the left rail, then Contract templates under Event setup.
- Press Write a template. Give it a Template name, for example “Wedding agreement”.
- Write your agreement in The contract. To fill in details, press a button in the Put in row, or type the placeholder by hand.
- Press Add this template. To change it later, press its name, or open the row menu and choose Edit this template.
The four placeholders
| Press | Type | Filled in with |
|---|---|---|
| Client name | {{client_name}} | The client name on the contract, or the event’s customer. |
| Event date | {{event_date}} | The event’s start date, in your venue’s date format. |
| Event name | {{event_title}} | The event’s title. |
| Venue name | {{venue_name}} | Your venue’s name from Settings. |
Start a contract from a template
- Open the event, press More, then Contracts, then New contract.
- Choose the template in Load from template. The text is copied in and the placeholders are filled in at that moment.
- Check the text, then press Create contract. See Send a contract for signature.
What it does not do
- Placeholders are filled in once, when you load the template. If you change the client name afterwards, edit the text or load the template again.
- Anything else in braces stays as you typed it, and a missing value becomes blank.
- The template picker shows only when you create a contract, not when you edit one.
- A contract is plain text. There is no formatting, image, table or attachment.
- Deleting a template does not change contracts already written from it.
- The contract editor’s own hint lists three placeholders. A fourth, the venue name, also works.
Common questions
Can a Free venue write templates?
Yes, but a Free venue cannot create contracts to use them. Contracts need the Venue plan.
Does an automation use my templates?
Yes. The automation step “Send a contract” is made from one of your templates and goes to the client as soon as it runs, without a review step.
