Use several layouts on one event

Plan: Free and Venue Who: Event coordinator and above can change the list. Staff can see it. Checked against the app on

The short answer

Open the event, go to Overview, find Layouts under Quick links, press Edit event, then pick Add a layout or Create a new layout for this event. You can attach up to 12, name each part and set the order.

Attach layouts to an event

  1. Open the event from Events, choose the Overview tab and find Layouts under Quick links.
  2. Press Edit event. Rows change from links into editable rows.
  3. Under Add a layout choose one of the venue’s layouts, or press Create a new layout for this event. The new layout is attached as soon as you create it.
  4. Give each part a name in the box, such as “Ceremony”, “Dinner” or “Cocktails”, and use the arrows to set the order. The X removes a layout from the event, not from the venue.
  5. Changes save straight away with the message “Layouts updated.” You do not need to press Save changes for them.

What the client sees

On the client’s event page a Floor plans section lists one link per layout, in your order, with the part name in bold. When a client opens one, a tab row at the top switches between the plans. A layout appears only when you have published it and made a share link. See Share a layout with your client.

Copy a plan for another event

In the builder, open Actions and choose Duplicate for another event. It copies the saved version as a new unpublished layout titled “(Copy)”. Save first, because it copies what was saved. Copying an event copies its list of layouts in the same order.

What it does not do

  • An event can have up to 12 layouts, and a layout can be on an event once.
  • The first layout in the list is the event’s main layout. The BEO, the client portal, embeds and the double booking check read that one, so reordering changes which room counts.
  • A layout you have not published and shared is invisible to the client, even by name.
  • A deleted layout leaves every event it was on.
  • The layout’s own “Used by events” box lists events. Clicking a row opens the events list, not the event.
  • A personal workspace with no venue keeps one layout per event.
  • Part names are up to 60 characters.

Common questions

Why does my event show a single Linked layout picker instead?

Several layouts on one event need a database update on your venue’s account. Contact us and we will check it.
