Convert an inquiry to an event, decline or reopen it
Press Convert to event on the inquiry, check the date, time and title in Confirm booking, choose a status and press Confirm booking. The event goes on your calendar and the inquiry leaves the list.
Convert an inquiry
- Open Inquiries. On a Ready to book row press Convert to event. On a New or Replied row, open the row menu and choose Convert to event. You can also press it at the foot of the inquiry window.
- In Confirm booking, check Start date, Start time, End date and End time. They are filled in from the inquiry. If the inquiry named only a day, the times start at 09:00 to 17:00.
- Check the Event title. Choose a Status: Confirmed, Tentative, holding the date, or Quoted, not held yet. Add a room, the event type, guests, the estimated amount and a package if you want them now.
- Press Confirm booking. A message says “Name is booked”, or “Name is on the calendar as tentative”, with an Open event button.
Decline, reopen or delete
Decline from the row menu, or with the Declined button inside the inquiry. The row moves to the Declined section, which is folded away until you press Show.
To reopen, use the row menu on a declined row and choose Move back to new.
Delete from the row menu. When the Trash is on, the inquiry stays recoverable for 30 days and the message offers Undo. A Recently deleted link under the list opens the Trash. See The Trash. Otherwise it is removed for good, and the dialog says so before you confirm.
What it does not do
- Converting does not create a client record, a contract or an invoice, does not email the person and does not start “a booking is confirmed” automations.
- It does not check the Free plan’s 10 events a month. The converted event counts toward that month afterwards.
- A room clash is refused: “Overlaps Title, time window. Pick another time or room.” Tentative holds block the room too. An event that ends exactly when another starts is allowed. Two events with no room both mean the whole venue.
- A closed date is refused with the reason and a note to remove the closure first.
- An inquiry that was already converted cannot be converted again.
- The window keeps what you typed when it refuses.
- Declining stores no reason, and there is no lost reason report.
- The inquiry’s lead source stays and counts as a booking in Lead sources unless the event is later cancelled.
Common questions
Why is the client missing from Clients after I convert?
Converting copies the name, email and phone onto the event but does not add a client. Add the client by hand, or let a form create one. See The Clients screen.
