Forms, the booking page and website embeds
Open Forms, press New form and build your fields. On the Settings tab tick Create inquiry on submission and map the fields. Publish the form, then copy its code from Settings, Website embeds.
Build a form that creates inquiries
- Open Forms under Tools and press New form. Give it a Form title and, if you like, a description.
- On the Fields tab press Add field, Date or Time and choose the field type: short text, long text, email, number, date picker, time picker, dropdown or checkbox. Press Page break to split a long form into steps.
- On the Logic tab, press Add rule to show or hide a field based on another answer.
- On the Settings tab tick Create inquiry on submission. Under Field mappings choose which field is the customer name, email, phone, event date, start and end time, guest count and description.
- Press Create form. The builder returns to the Forms list. Open the form again and press Publish. A draft shows visitors “This form is a draft”, except you, who can test it.
- Press Copy link for the form’s own page, or Embed for the code.
Put it on your website
- Open Settings, then Website embeds under Venue. Choose a tab: Calendar, Inquiry form, Floor plan or Tour booking. For the form, choose one of your published forms.
- Set the accent colour, the look (light, dark or match the visitor’s device) and tighter spacing. Check the preview on desktop and phone.
- Press Copy code, then follow the steps under Add it to your site for WordPress, Wix, Squarespace or another site.
- Send a test inquiry through the page before you tell anyone.
The public booking page
Your public calendar page, at the address shown under Calendar, Public calendar, shows events you marked public and your closed days as Unavailable. Visitors can press Ask about a date, which sends a booking request. See Where inquiries come from.
The calendar you embed on your own site is view only. It has no Ask about a date button. To take requests from your own website, link to the booking page, embed a form, or embed the tour booking.
What it does not do
- Without Create inquiry on submission, a form saves its answers as submissions only and makes no inquiry.
- There is no mapping for event type, company or notes, so an inquiry made from a form never has an event type.
- Initial status and Email alerts in the form settings do nothing today. Every form inquiry starts as New.
- Create client portal account on submission is on unless you untick it. The visitor is emailed a link to choose a password, which works for 7 days. The privacy note under the form still says a temporary password is emailed, which is out of date.
- Every submission with an email creates a client unless that email exists, even with inquiries off.
- If creating the inquiry fails, the visitor still sees Thank you. Check Submissions now and then.
- Visitors see one generic message when a submission fails. The real reason is not shown.
- The Not a robot field only needs ticking. It is not bot protection. Forms are rate limited to 10 submissions per 10 minutes from one address.
- Only the person who created a form can open its Submissions. Deleting a form deletes it for good and skips the Trash.
- The Free plan shows “Powered by MyVenueHQ” on embeds and the public calendar. The Venue plan can hide it. Proposals, contracts and the client portal keep it.
- The Embed button inside the form builder and the Embed button on Calendar still give older code, without the resize line or source tags. Prefer Settings, Website embeds.
