Where inquiries come from
An inquiry lands in Inquiries, under Waiting for a reply, from your public booking page, a form you built, a tour booking, the partner API, or when you add one yourself. All of these work on the Free and Venue plans.
The ways in
| Way in | What the visitor or you do | Who is told |
|---|---|---|
| Booking page | A visitor presses Ask about a date on your public calendar page and fills in the request. | A notification and an email to owners, managers and event coordinators. |
| A form | A visitor submits a form of yours that has Create inquiry on submission ticked. | A notification to owners, managers and event coordinators, and an email to owners and managers. |
| Tour page | A visitor books a tour. It joins their open inquiry, or starts one called “Tour: name”. | A notification and an email to owners, managers and event coordinators. |
| Partner API | A website form or a tool such as Zapier or Make posts to your API address with your key. | A notification and an email to owners, managers and event coordinators. |
| Typed by hand | You press Add an inquiry. | Nobody. You made it. |
Add an inquiry yourself
- Open Inquiries and press Add an inquiry. You can also press the plus button in the left rail and choose Inquiry.
- Fill in Event title, the customer’s Name and either an email or a phone number. Add the dates, guests and notes if you have them.
- Optional: press Paste an email to fill this in, paste what the person wrote and press Fill the form. Check what it filled in, because you press the final button yourself. This needs the AI assistant to be on and uses credits.
- Press Create inquiry. The new inquiry is in Waiting for a reply.
Send inquiries from your own website form
Open Settings, then API access under Advanced, and press Create an API key. The key is shown once, so copy it then. Your website form posts its fields, as JSON or ordinary form fields, to the address shown on that page, with the header Authorization: Bearer and your key. Names such as name, email, phone, company, event date, start time, guests, event type and message are recognised in several spellings. Anything else is kept in the inquiry’s notes under “Other details”.
There is no Zapier or Make app. Their webhook steps can post to the same address, which is how you connect a form builder that cannot send a key.
Answering straight away
The ready-made automation “Reply to every new inquiry right away” is in Settings, under Workflows. It is off until you turn it on. It emails the person your booking page link so they can ask about a date.
What it does not do
- The booking page does not check your calendar. A request for a date that already has an event still arrives, so you decide when you reply.
- The booking page asks the visitor for a fixed set of fields. You cannot add, remove or rename them. Use a form when you need your own questions.
- A visitor to the booking page gets no email of their own unless the instant reply automation is on.
- A request for a closed date is refused with “The venue is unavailable on those dates.” You set closed dates in the calendar under Block dates.
- The public doors are rate limited, not protected by a captcha. The booking page accepts 10 requests per 10 minutes from one address. The API accepts 100 per 10 minutes for your venue.
- The API needs an email or a phone number on every inquiry. Without one it answers 422. An identical inquiry sent twice within 24 hours is kept once.
- A tour booking does not start the “an inquiry comes in” automations. A booking page request, a form and the API do.
- There is no inbound email address. Forwarding an email to MyVenueHQ does not create an inquiry. Paste it into the Add an inquiry window instead.
- Paste an email is hidden when the AI assistant is off for your venue, not set up on the server or out of credits.
Common questions
Is there a limit on how many inquiries I can have?
No. The Free plan limits events per month, clients and seats, not inquiries.
Can a visitor book a date and pay on the booking page?
No. The booking page sends a request. Nothing is booked or paid until you convert the inquiry to an event.
