The short answer

Open Settings, then Tours under Automation. Tick Accept tour bookings, set your tour hours and save. Share the Your tour page link or put the Tour booking embed on your website.

Turn tours on

  1. Open Settings, then Tours under Automation.
  2. Tick Accept tour bookings. Nothing is public until you also give at least one day hours.
  3. Under Tour hours tick each weekday you give tours. A ticked day starts at 10:00 to 16:00. Change when the first tour may start and the last may finish.
  4. Choose How long a tour takes (20, 30, 45, 60 or 90 minutes), Time between tours (0, 10, 15 or 30 minutes), How far ahead people can book (14, 30, 60 or 90 days) and Soonest someone can book (right away, or 2, 24, 48 or 72 hours ahead).
  5. Leave Leave out times when an event is running ticked so a tour never lands on an event. Add A note for visitors such as where to park.
  6. Press Save tour settings. A Your tour page link appears. Copy it, or use the Tour booking tab in Settings, Website embeds, to put it on your site.

The tour page a visitor sees first, for a sample venue. After a day, they pick a time and give their details.

What happens when someone books

The visitor picks a day and a time, gives a name and email, and gets a confirmation with a link to change or cancel. You get a notification and an email. The tour joins their open inquiry if their email matches one, or starts a new inquiry. A reminder email goes to the visitor about a day ahead.

In the same Settings page, Booked tours lists them. After a tour ends, press It happened to move its inquiry to Ready to book, or Did not come. Today also asks “Did name’s tour happen?”. Before the tour ends the button is Cancel.

What it does not do

  • One window per weekday. There are no per-room tours, no assigned staff member and no text message reminders.
  • Closed dates for the whole venue are left out. A closed date that belongs to one room does not close tours.
  • Cancel from the Booked tours list does not email the visitor. A visitor who cancels from their own link tells you with a notification.
  • Email people who did not come is off by default. When on, one short message with a link to pick another time goes out.
  • Reminders go out from a check that runs every six hours, so they land about a day to a day and a half ahead.
  • The public page allows 8 bookings per 10 minutes from one address. The booking list shows tours from two days ago to two months ahead.
  • A tour booking does not start the “an inquiry comes in” automations.
  • The Free plan shows “Powered by MyVenueHQ” on tour pages and embeds. Hiding it is part of the Venue plan.

Common questions

Why does my tour page say Tours are not available?

Tours are off, or no weekday has hours. Tick Accept tour bookings and at least one day, then save.

Can I use the tour link in an email?

Yes. In an automation or email template, {{tour_link}} is replaced by your tour page address, and is empty while tours are off.
