The calendar, blocked dates and double bookings

Plan: Free and Venue Who: Anyone with calendar access can look. Managers block dates. Checked against the app on

The short answer

Open Calendar for the month grid. Switch to Public calendar to share your public events. Managers press Block dates to close dates, which stops bookings and inquiries. Two events in the same room cannot overlap.

Block dates

  1. Open Calendar and press Block dates. Only owners and managers see it.
  2. Choose the First day and, for a range, the Last day. Choose Closed all day or set a From and Until time.
  3. Choose Applies to: the whole venue, or one room only. Add a private reason.
  4. Press Block dates. A message says “Dates blocked”. To open them again, press Reopen in the Blocked dates list.

Shared and public calendar

The Shared calendar is the month grid for your team. A multi-day event shows on its first day. A red Clash chip marks two events in one room that overlap. Closed dates show as a hatched Closed block. Clicking a closed day tells you to reopen it first.

The Public calendar tab shows what visitors see, with buttons Embed, Copy link and Open. A visitor sees only events marked public that are not cancelled and have not ended, at any stage, including Lead and Quoted. Contact details are never sent. Closed dates show as Unavailable, with no reason.

For Google Calendar, Apple Calendar or Outlook, open Settings, then Integrations, and turn on the Calendar feed. It carries each booking’s name, time, space and status, never contact details, amounts or notes. Anyone with the link can see your bookings, so share it only with your team. Google refreshes subscribed calendars every few hours.

How clashes are checked

Two events at the same venue clash when their times overlap and they use the same room. Two events with no room both mean the whole venue. An event with a room and one without do not clash. An event ending at 6:00 PM does not clash with one starting at 6:00 PM. Cancelled-status events never count. The check runs when you create, move, reschedule or convert. An edit that changes no time, room or status is never refused.

What it does not do

  • The calendar has a month grid and a phone list. There is no week or day view, and you cannot drag an event to another day.
  • A closed date stops new bookings, requests and inquiries. An event already inside the dates is not cancelled, so you have to sort it out.
  • The public booking page and forms do not check clashes, only closed dates.
  • A closure can cover at most three years.
  • The calendar feed lists back 180 days and skips cancelled-status events. Only managers and owners manage it.
  • Setting an event’s stage to Cancelled does not clear its date for the clash check.
