Hold a date, release it, and cancel an event

The short answer

A tentative event shows a hold bar at the top of its Overview. Give 3 more days, give a week, or Release the date. Releasing cancels the event and opens the date. The Cancelled stage on its own does not.

Work a hold

  1. Convert an inquiry with Tentative, holding the date or Quoted, not held yet. The event is saved as a hold.
  2. Open the event. At the top of Overview the bar says “This date is on hold and the hold ends” and a date.
  3. Press Give 3 more days or Give a week to extend. A message says “More time given. The hold now ends later.”
  4. To let the date go, press Release the date and confirm. The event is cancelled and “Date released. It is open to sell again.”

Warnings and deadlines

A hold ends on its hold-until date, or 7 days after the event was made. Within 2 days of the end, and once it has passed, your team gets a notification “A hold is ending” (Settings, Your account, Notifications) and one email. Nothing is released by itself. You can turn on the ready-made automation that warns the couple. See Turn on a ready-made automation.

What it does not do

  • There is no Cancel event button. Releasing the date on a hold is the only control that fully cancels an event. Delete event removes it to the Trash.
  • Setting the stage to Cancelled in Edit event, or dragging a card to a stage on the Pipeline, changes the stage only. The event still blocks its date in the double booking check, still shows on the public calendar if it is public, and still shows on Today.
  • The hold bar shows only for events stored as tentative or pending, in view mode, and not for events made in the New event window, which are stored as confirmed.
  • Extending adds days from today or the current end, from 1 to 60 days.
  • Releasing a hold takes the event off the public calendar and the client link.
  • Releasing starts the “A booking changes status” automations.

Common questions

How do I free up a date for an event that is not a hold?

Delete the event, or ask us to help. Setting the Cancelled stage does not free the date.
