Ask HQ a question

Plan: Free and Venue, using credits Who: Anyone on the team. Money answers go to owners and people who can see reports. Checked against the app on

The short answer

Open Today, click the bar under the day’s note, type your question and press Enter. HQ answers from your own events, inquiries, clients, invoices and recorded payments. It only offers to change something when you ask it to.

Ask a question from Today

  1. Open Today in the left rail. You can also press Ask beside Today, which takes you there with the cursor in the box.
  2. Click the bar that says “Ask about your venue, or tell me what to do”. It sits under the greeting and the day’s note.
  3. Type your question. Press Enter to send, or Shift and Enter for a new line. A question can be up to 2,000 characters.
  4. Watch the line under the box. It says Thinking, then names what HQ is looking up, such as “Checking your calendar”. The answer arrives a word at a time.
  5. Read the answer. Names of events, inquiries and clients in it are links that open the record.
  6. To stop an answer, press Stop or Esc. To ask it again, use Try again under the answer. To change your last question, press the up arrow in an empty box.

Questions to start with

  • What needs me today?
  • Who owes me money?
  • Who is waiting on a reply?
  • What is happening tomorrow?
  • Is October 24 open? (HQ checks your calendar.)
  • What did we take in last month? (Owners and people who can see reports.)

Other places to ask

The expand icon at the end of the bar, named Full screen, opens Ask MyVenueHQ on its own page. New in the left rail leads to a line called Or describe it, where you can write something like “Hold Saturday June 6 for the Ortega wedding, 120 guests”. On an inquiry, Draft a reply writes a reply for you to edit, and on a new inquiry, Paste an email to fill this in fills the form from an email.

What HQ reads

Your venue’s events, inquiries, clients, invoices and what is owed, event sheets (BEOs), proposals, contracts, the revenue recorded in the app, your open dates and the names of your rooms. It reads only your own venue. Money figures go only to the owner and to roles that can see reports, and every dollar amount in an answer is checked against the records.

How long a conversation lasts

The conversation stays in your browser tab. A reload keeps it, and closing the tab clears it. Press the New chat button under the box to start again at any time.

Credits

Each question costs about one credit, and a long answer that looks up a lot costs a few. See AI credits.

What it does not do

  • HQ answers about your venue and says so when you ask about something else.
  • Answers are text. If HQ says a calendar, chart or floor plan is “below”, nothing is drawn yet: ask for the list in words instead.
  • It does not read your inbox, your messages with clients, tickets or POS sales.
  • It does not know how many guests a room holds, because rooms have no stored capacity.
  • A conversation is not saved after you close the tab. There is no chat list yet.
  • HQ works in the web app, not in the mobile app, the client portal or the public calendar.
  • You can send up to 12 questions a minute. Answers are short, about 120 words by instruction.

Common questions

Can HQ change my bookings by itself?

No. It can offer an action as a card, and nothing happens until you press Confirm. See Let HQ do something for you.

Which language does HQ answer in?

The language you write in. The screens are in English, German, Spanish, French and Dutch. The daily briefing and reply drafts are written in English.

Why is there no Ask box on my Today screen?

The owner may have switched HQ off for the venue, or you may have hidden it for yourself. See Turn HQ off.
