Set a deposit and payment schedule

Plan: Free and Venue Who: Staff and above can save the schedule. Event coordinators and above can create invoices. Checked against the app on

The short answer

Open the event, go to its Money tab, press Edit event, and fill in the Deposit, Second payment and Final payment rows. Auto-generate splits a total for you. Press Save changes. The schedule drives reminders and the client portal, and it charges nothing.

Set the schedule by hand

  1. Open the event from Events and choose the Money tab. Press Edit event. The fields stay locked until you do.
  2. In Payment schedule, give each of Deposit, Second payment and Final payment an amount and a date. Leave a row empty if you do not need it.
  3. Set the status of each row: Pending, Paid, Partial or Overdue.
  4. Press Save changes.

Split a total with Auto-generate

  1. With Edit event on, press Auto-generate. The total to split is the event’s amount. With no amount it adds up the three rows.
  2. Choose Number of payments (2 or 3), the Deposit % (25, 30, 33 or 50), the First due date and the Days between (14, 30, 45, 60 or 90). Check the preview.
  3. Press Apply plan. It fills the three rows with status Pending. It only changes the form, so press Save changes too.

Bill the deposit

  1. With a deposit amount above zero and the deposit not yet Paid, the Deposit row shows Create deposit invoice. Press it.
  2. The invoice form opens with one line, “Deposit”, for that amount, due on the deposit date, with the customer from the event. Press Create invoice, then Send. See Create and send an invoice.

What it does not do

  • There are exactly three payment rows, with dates you pick. A due date cannot move with the event date, and nothing is due automatically on signing.
  • The schedule does not create invoices or take money. It drives payment reminders, the client portal’s Payment schedule and the owed figures on the Money page.
  • Nothing sets Overdue for you. You choose the status yourself.
  • Paying an invoice does not change the three statuses. Set a row to Paid yourself, or the portal and the Paid card keep saying it is unpaid.
  • Paying any invoice marks the whole event as paid. Once a client pays the deposit invoice, event-date reminders for the later payments stop.
  • The event amount comes from Estimated amount when you create or convert the event. The open event window has no field to change it afterwards, so Auto-generate works from the three rows if that amount is empty.
  • If you type only a deposit, the Total revenue and Remaining balance cards show the deposit as the whole total.
  • Amounts are rounded to the cent per row, so three rows can differ from the total by a cent.
  • A venue whose paid subscription has lapsed is read-only, so the schedule cannot be saved.

Common questions

Can I take the deposit by card?

Yes, when you have a payment account set up under Settings, Payment processing. Create the deposit invoice and send it. Clients pay from the Pay button in the email.

Can the payment dates follow the event date?

No. The dates are fixed calendar dates that you pick.
