The event window: tabs, editing and sharing
Click an event to open its window. The tabs are Overview, Timeline, Tickets, Money and More, which holds the BEO, contracts, proposals, vendors, tasks and more. Press Edit event to change anything, then Save changes.
Open and change an event
- Click an event on Events, the Calendar, Today, or in Clients. The header shows the stage, event type, title, date, hours, location, guests and client.
- Use the tabs: Overview, Timeline, Tickets, Money and More. More opens BEO, Contracts, Proposals, Vendors, Planners and vendors, Staffing, Tasks, Requirements and Resources.
- Press Edit event. Fields become inputs. Change the title and dates in the header, and the rest in the tabs.
- Press Save changes. A message says “Event updated”. There is no Cancel editing button. If you close with unsaved changes the window asks “Close without saving?”
What the Overview holds
Event profile, Capacity tracking, Final guest count, Client, Public event details, Assigned manager, Workflow status (the stage), Priority, Visibility, Event package, Quick links, Updates, Photos & attachments and Internal notes. Quick links has the client event link, the public link and ticket sales page for a public event, View BEO or Create BEO, and the event’s Layouts.
Share and delete
Share opens Share event page with a Links tab (client event link for vendors and key attendees, public event link, ticket sales link) and a QR code tab. The public link works only when Make this event public is on.
The three-dot menu has Delete event. When the Trash is on, the event stays for 30 days. See The Trash.
What it does not do
- Most fields change only in Edit event and save only with Save changes. The hold bar, the final count deadline, the Layouts list and Updates save by themselves.
- Setting the Workflow status to Cancelled changes the stage only. The date stays blocked. See Holds and cancelling.
- An event with sold tickets cannot be deleted without confirming, because the tickets are deleted too: “Cancel the event instead, or confirm deletion.” An event with recorded payments cannot be deleted at all: “Cancel it to retain the payment history.”
- Deleting an event unlinks its invoices, contracts and proposals.
- The event window has no address of its own, so you cannot bookmark one.
- Door, setup, load-in, sound check and breakdown times have no screen to edit them.
- A venue whose paid subscription lapsed can open events but not save.
