How refunds work

Plan: Free and Venue Who: Owners, managers and event coordinators are notified. Checked against the app on

The short answer

There is no refund button in MyVenueHQ. Refund the card payment in your Stripe dashboard. Where your processor reports the refund to us, the invoice drops back to unpaid or part paid and your team is told. There are no credit notes.

Refund a payment

Open the payment in your Stripe dashboard and refund it there. MyVenueHQ never moves money back for you.

When Stripe reports the refund to MyVenueHQ, the invoice is lowered by the refunded amount and shows Unpaid or Part paid again. A refund line appears in your revenue. Owners, managers and event coordinators get a message “Refund on invoice number”, and the owner gets an email. The client is not emailed.

If the client should not be asked to pay again, delete the invoice or tell them. The message tells you how much is still owed.

If a client pays twice

If two payments arrive for one invoice, the extra is recorded as an overpayment and is not credited. The owner gets an email, “Refund needed: extra payment on invoice number”, with the amount and the Stripe checkout session to refund from the Stripe dashboard.

What it does not do

  • MyVenueHQ has no refund button, no partial-refund form, no refund reason and no credit notes.
  • Only refunds on a connected Stripe account are recorded. A venue that stored its own Stripe key gets none recorded.
  • If the invoice still shows paid after you refunded, the notice did not reach us. Tell us and we will check.
  • A refund does not change the event’s Deposit, Second payment and Final payment statuses. Edit those yourself.
  • There is no Cancel button for an invoice. Disputes and chargebacks on invoices are not handled.
