Invoices in the client portal
A client with a portal account opens Invoices and sees what they owe at the top, a To pay list with a Pay button for each open invoice, and a Paid list. They need a verified email that matches the one on the invoice.
What the client sees
The portal is at the venue’s client sign-in. Its menu has Events, Invoices, Documents and Messages. The Invoices page opens with a line that says what is owed and by when, or “Nothing owed”.
Under To pay, each open invoice shows its due date, the balance and a Pay button. A link, What it covers, opens the line items, the tax and the note. Under Paid, each paid invoice shows its date and total.
On the Events page each event expands to show Where, Doors, Guests and the Payment schedule: Deposit, Second payment and Final payment, each with Paid, Due date or Was due date. The primary button reads Pay with the amount when exactly one invoice is open.
How a client gets an account
A client account is made when your form creates one on submission. The client gets an email with a link to choose a password, which works for 7 days. After that they use Forgot it? on the sign-in page. A client must verify their email before the portal opens.
What it does not do
- The portal lists invoices addressed to the signed-in verified email. If you sent the invoice to a different email, it does not show.
- A part-paid invoice shows Ask about the rest, which opens Messages, instead of a Pay button. The emailed Pay link still takes the balance.
- What it covers shows line items and tax. It leaves out the event’s discount and gratuity, so the lines may not add up to the total.
- An invoice shows in the portal as soon as it is created, before you send it.
- There are no receipts, payment history, invoice downloads or saved cards in the portal.
- Signing a contract or answering a proposal does not happen in the portal. Those use separate links in their emails.
- Invoices sent by an automation carry no Pay button, so the portal is the only way for the client to pay them.
Common questions
Does the client have to use the portal?
No. The Pay button in the invoice email works without an account. The portal is a second way in.
