The pay link: what your client sees
The Pay button in your invoice email opens a card payment page for the amount still owed. The client needs no account. When they pay, the invoice becomes paid and the event is marked paid. The Pay link does not expire.
What your client does
- Opens the invoice email and presses Pay now.
- Lands on the Stripe payment page, for one line, “Invoice number”, for the balance still owed. The card form is on Stripe, not on MyVenueHQ.
- Pays by card. They return to a MyVenueHQ page that says “Thank you, your payment is on its way”.
What happens in MyVenueHQ
With Stripe, the payment is recorded within moments. The invoice becomes Paid, the payment goes into your revenue, and the event is marked paid. The client gets a “Payment Confirmation” email, and the owner gets “Payment Received”. If the client pays more than the invoice needed, the extra is not credited. The owner gets an email asking to refund it from the Stripe dashboard.
The pages a pay link can land on
| Page | When |
|---|---|
| Thank you, your payment is on its way | After a successful payment. |
| The payment was not completed | The client backed out of the Stripe page. They are not charged and can try again. |
| This invoice is paid | There is nothing more to pay. |
| This invoice was cancelled | The venue cancelled it. |
| This payment link needs a fresh start | An old link without a signature, or an invoice that was deleted. The client can sign in to the portal to pay, or you can send the invoice again. |
| Please contact the venue to pay | The venue uses PayPal, which cannot take invoice payments. |
| We could not start the payment | The venue has no payment account connected, or something went wrong. The client is told to try again or contact you. |
What it does not do
- Clients pay by card only. There is no bank transfer, no saved card and no part payment. The link always charges what is still owed.
- The link works until the invoice is paid, cancelled or deleted. To stop one, delete the invoice.
- Invoices sent by an automation have no Pay button. The email tells the client to log in to the client portal to pay.
- Reminder emails for an invoice carry the same Pay link. Reminders for an event’s Deposit, Second or Final date carry no link.
- A venue on PayPal gets no Pay button. PayPal is not available for new venues.
- The page shows a payment amount in your venue’s currency: US dollars, euros, British pounds, Canadian dollars or Australian dollars.
- The pay link allows 20 tries per 10 minutes for one invoice from one address. Over that, the browser shows a short error.
- Whether the client also gets a receipt from Stripe depends on your Stripe account settings. MyVenueHQ sends its own confirmation only for Stripe payments.
- The client cannot pay an invoice for an event whose venue has no payment account set up under Settings, Payment processing.
Common questions
Does the client need an account to pay?
No. The link in the invoice email is the credential. A client who opens a link without that signature is sent to sign in to the client portal instead.
Can the client pay by bank transfer or Apple Pay?
Not through MyVenueHQ. Checkout asks for a card.
