The Clients screen

Plan: Free (250 clients) and Venue (no limit) Who: Staff and above. Checked against the app on

The short answer

Open Clients in the left rail. Search by name, company, email, phone or notes, press a name to open the profile, and press Add a client to add one. The Free plan holds 250 clients and the Venue plan has no limit.

Add a client

  1. Open Clients and press Add a client. You can also press the plus button in the left rail and choose Client.
  2. Under Who they are type a name and, if you have one, the company.
  3. Under How to reach them press Add an email and Add a phone. Mark one of each as Main. The list and the profile show the main one.
  4. Add notes if you want to remember who referred them or the best time to call. Leave Venue login on Not linked unless this client is also on your team.
  5. Press Add client. A message says “Client added”.

Find a client and read their profile

The search box looks at names, companies, emails, phone numbers and notes, anywhere in the text. The sort menu offers Recently added, A to Z, By company and Recently changed. The Only venue logins button narrows the list to clients linked to a team login.

Without a search the list has two parts: Coming up, with each client’s next event, and Everyone else. Each row shows what the client owes, in red when it is late.

Press a name to open the profile. It says when they are next here, how many events follow, and what they owe. Below that are Coming up, Owed, Inquiries, Past events and Notes, each shown only when it has something. The profile finds events and invoices by the client link or by a matching customer email, and inquiries by their email.

Where clients come from

You add them by hand, or with the New contact option inside the New event window. A form that collects an email creates a client the first time that email appears, even if the form does not create inquiries. Converting an inquiry, a booking page request, a tour or an API inquiry does not create one.

What it does not do

  • The Free plan holds 250 clients in total. The 251st is refused with “Your free plan includes 250 contacts. Upgrade to add more.” Deleting a client frees a slot.
  • Adding by hand does not warn you about a client with the same email, and there is no merge.
  • The client profile lists events, inquiries and what is owed. It does not list contracts, proposals, messages or sent emails, and it has no notes thread or history.
  • A client with no email gets only the events linked to them directly, and no inquiries.
  • The list loads every client at once.
  • The window closes the moment you press Add client, so an error appears as a message instead of in the window.
  • Deleting a client moves them to the Trash for 30 days when the Trash is on. Their events and invoices stay either way.
  • There are no client tags, consent flags, bulk email or campaigns.

Common questions

Does a client get a login?

Not from this screen. Venue login only links a client to someone on your team. Clients open proposals, contracts and pay links from emailed links, without an account.
